Creating a requisition

When a new job or position is created or an existing one opens, create a request to hire someone to fill the opening. To simplify data entry, default position record information into the requisition. Create a single requisition when you have multiple openings for a job or position. Also, track approvals required in the hiring process and generate job postings.

The position rules you defined on Position Rules (PA06.1) determine whether you track the minimum and maximum number of openings and whether the application will compare openings to the budget.

To create a requisition

  1. Access Requisition (PA42.1).
  2. In the Effective field, type the date the information on this requisition is effective.
  3. Use the following guidelines to enter field values on the Status tab.
    Status

    Select the status of the requisition. Active requisitions are included in the Assigned Resource count.

    Note: When closing a requisition, the requisition status must have a value of excluded.
    Dates: Requested

    Type the date the requisition is requested.

    Dates: Opened

    Type the date the requisition is open.

    Dates: Needed

    Type the date you need the job or position filled. Personnel Administration uses this date to find the correct budget record and position rules to use for budget count and comparisons. If your position rules indicate that you use position codes, the position must exist as of the requisition date needed.

    Openings, Head Count

    Type the number of open jobs or positions for the requisition. You can create one requisition for multiple openings when you plan to hire many employees for the same type of job or position. The minimum head count you can requisition is 1. The number of openings you enter cannot cause you to exceed limits you defined in Position Rules (PA06.1), Position Budget (PA70.1), or Job Budget (PA71.1). The application checks for these only if the following fields on Position Rules (PA06.1) have a value of Yes:

    • Automatic Counting

    • Compare Head Count To Budget

    • Compare Requisitions To Budget

    Openings, FTE

    Type the total FTE for all open requisitions for a job or position. The number of FTE you enter cannot cause you to exceed limits you defined in Position Rules (PA06.1), Position Budget (PA70.1), or Job Budget (PA71.1). The application performs comparisons against these limits only if the following fields on Position Rules (PA06.1) have a value of Yes:

    • Automatic Counting

    • Compare FTE To Budget

    • Compare Requisitions To Budget

    Position

    Select the code that represents a position in the company. Your position rules indicate whether a position is required. If you use position codes, you can require a position at the time the requisition is defined or at the time an applicant is hired. The latter option lets you define a requisition for a position before all of the position details are finalized. The position you select must exist as of the date in the Needed field. The position must also have a status of Active or Temporary.

    If you want the position information to default from Position (PA02.1), enter the Status, Requested, Opened, Needed, and Position fields and use the Fill Defaults Special action to fill in default information. How you define information on Position Item Attributes (HR10.2) determines what position information defaults to Requisition (PA42.1).   4. Select the Structure tab to define information about the job or position such as the employee status, supervisor, location, salary, and work schedule.
  5. Select the Replace tab to define information for requisitions which are for the replacement of a current job or position.
  6. Select the Approval tab to indicate the total number of approvals required and the people that approve the hiring for the requisition.
    Note: If using e-Human Resources Center, the External Start Date field on the Posting tab is required to make the opening available to applicants. Enter a date that is less than or equal to the system date. The External End Date field is not required.
  7. Select the Posting tab to define information about posting the requisition, including dates, person to contact, and so on.
  8. Select the Add form function to create a requisition for a job or position.
