Position rules
Position rules define your use of the application's position management functionality.
Every organization that uses Personnel Administration must define position rules for each company.
You use position rules throughout employee and requisition processing. Position rules specify:
-
Whether you use position codes
-
If you will allow employees to be regularly scheduled in multiple positions or jobs
-
The minimum and maximum FTEs an employee can have within single and multiple positions or jobs
-
What will be included in the count when tracking assigned resources.
Note: Assigned resources are defined as the number of employees or FTEs in a company's workforce. Assigned resources include current employees and open requisitions. -
How you will use job or position budgets
-
How you will use position codes for reporting
-
What information will default to an employee's time record
You can define position rules for a process level or department. For example, you can elect to use position codes for certain process levels or departments and not for others.
Example
The Dickerson Software Company manages staffing using job, process level and department. Dickerson does not need to take advantage of the added features offered by positions. The development department, consisting of 50 programmers, is the largest department at Dickerson. Several programmers work two weekends a month at .25 FTE to support the help desk. There are also two half-time programmers.
Because the programmer position has the largest number of employees, Dickerson sets the maximum headcount limit for any job in any department in the company at 50. The minimum FTE limit for an employee is set at .5 to accommodate the half-time programmers, and the maximum at 1.25 to accommodate the programmers working on weekends.
Dickerson wants to include the two programmers on maternity leave in the head count. Therefore, the count rule is set to include non-active employees.
Although several programmers are also assigned a secondary job as quality control testers, it is decided to include only primary positions in the head count and FTE count.
Example
Two Rivers Company needs to refer to the location of every position in the company. Therefore, position rules are defined to use position codes and automatically count only active employees. The Grove Hospital, a subsidiary of Two Rivers, is allowed a specific head count budget per position which cannot be exceeded. The hospital defines position rules for the Grove Hospital process level to include requisitions to strictly monitor head count.
The Grove Clinic, another subsidiary, is not interested in budgeting or tracking head count. Therefore, Grover Clinic creates a position rule for their process level that turns off budget and tracking.
