Maintaining position codes

Changing position information has wide-ranging implications. The change affects requisitions, new hires, current employees, and pending actions.

To simplify the position maintenance:

  • Minimize the number of fields that Position (PA02.1) overrides

  • Make changes before you enter pending actions for employees

  • Run Update Positions (PA102) nightly after you make position changes

  1. Access Positions (PA02.1).
  2. In the Update Emps, Reqs field, indicate if you want the employee and requisition records to update immediately.

    If you want to update immediately, then you must have a Personnel Action code identified on Company (HR00), Personnel tab, Special Processing sub-tab, in the Position Update section.

  3. Type in the new effective date in the Effective field. The effective date is used when creating employee history.
  4. Enter the changed information.
  5. Select the Add form function.
  6. If you choose to update employee and requisition records later, or if you choose to update immediately and receive a message that says the update is incomplete, continue to the next step. If you choose to update employee and requisition records immediately and receive no message, the update is complete and the procedure is complete.
  7. Access Position Update (PA102).
  8. Use the following guidelines to enter the field value:

    Select an action or allow the action entered on Company (HR00.1), Personnel tab, Special Processing sub-tab, to default.

  9. Run Position Update to update pending personnel actions and to list the updated actions. This will resolve most position update situations.
  10. If you receive the Update Complete message, the procedure is complete. If you receive the Update Incomplete message, continue to the next step.
  11. Access Action Update (PA100). Run the update.
  12. If you receive the Update Complete message, the procedure is complete. If you receive the Update Incomplete message, continue to the next step.
  13. Access Position Change (PA03.1). This is an inquiry which displays the prior value and new value for fields that remain unresolved.
  14. Resolve the situations with one of the following actions:
    • Extend the end date of the position

    • Close the requisition

    • Terminate the employee

    • Assign the requisition or employee to a new position

  15. After you resolve the conflicts, access Position Change (PA03.1) and use the Delete form action to remove the unresolved situations.
