Interfacing accounting unit attributes

You can interface accounting unit attributes and associated values from a non-Lawson environment (a spreadsheet for example) to General Ledger. During this interface process, all records are edited for errors. This procedure describes the process for interfacing and editing accounting unit attributes and values.

Interface accounting unit attributes

  1. Prepare the non-Lawson attribute file. The file must be in an importable format such as a comma-separated value (CSV) file and the file fields must match the order and data type of the fields in the AUMXCONV, DBIFAUC interface file. The file layout for AUMXCONV, DBIFAUC is available on the Web.
  2. Transfer the non-Lawson file to the Lawson server that contains your Lawson environment.

    You can use a standard transfer utility such as ftp or the Lawson program winptxfr. You may have to rename the file to match your server's requirements. For example, to transfer file MX-Interface.csv on your c: drive to a Lawson server and rename it mxinterf, use this command:

    winptxfr -u mxinterf c:\\ pathname\\MX-Interface.csv

  3. Load the transferred file into the AUMXCONV, DBIFAUC file, using this command from your Lawson environment prompt:

    importdb productline AUMXCONV mxfilename

    where mxfilename is the name of the non-Lawson attribute value file transferred to your Lawson server in step 2.

  4. Run AU Attribute Interface Listing (GL262) to verify the accounting unit attributes before interfacing those records.
  5. View and edit the records in AUMXCONV, DBIFAUC, using Accounting Unit Attribute Interface Maint (GL62.1). You can add, change, or delete any records.
  6. Specify this information:
    Run Group

    This field is required to identify the group of records being interfaced.

    Organization Code

    Select an organizational code as defined in Organization Relationships (GL08.1). This code identifies the Lawson General Ledger company and accounting unit where the converted attribute information is stored.

    Attribute

    This is the attribute you converted from your non-Lawson system. If this value is incorrect, you can make the necessary changes.

    Value

    This is the attribute value you converted from your non-Lawson system. If this value is incorrect, you can make the necessary changes.

  7. Run AU Attribute Interface (GL162) to load accounting unit attributes and associated values to Attribute Matrix. This program moves records from the AUMXCONV, DBIFAUC file to the AUMXVALUE, DBIFAMV file, unless errors are found.
    Run Group Attribute

    You can run the interface program for one run group or one attribute. If you leave these fields blank, the program interfaces all run groups and attributes.

    Update Option

    This field determines if the Accounting Unit Attribute Value (AUMXVALUE, DBIFAMV) file is updated with the conversion data.

    • Select R (Report Only) to get a report of what records would be interfaced and what records are in error before you actually update the records. It is recommended that you always run this program first in Report mode.

    • Select A (All) to convert attribute records and print a report. If the system finds errors, it produces an error report and the records are not updated.

    • Select P (Partial) to update records with no errors. This option bypasses errors.

  8. View the report generated by GL162. If it contains errors:
    1. Correct the records, using GL62.1.
    2. Run GL162 again.
    3. Repeat this step until the report shows no errors.
