Defining accrual and allotment rules
Define accrual and allotment rules to specify the accrual dates for each employee accrual record.
To define accrual and allotment rules
- Access Accrual Rule (LP03.2).
- Select or type an accrual rule code and description.

In the Accrual tab, use the following guidelines to
enter field values::
- Date

Select the date from which accruals will be calculated. A value is required in either this field or the Date User field.
- Date User Field

If the accrual requirement is based on a user-defined date field, select the field that will be used. A value is required in either this field or the requirement Date field.
- Waiting Period Start

If there is a waiting period that must be satisfied before accruals will start, select the date from which the waiting period begins. If a value is selected, the Waiting Period and Unit fields are required.
- Waiting Period

Type the waiting period that must be satisfied before accruals will start. If a value is entered here, a Unit must be specified.
- Unit

If a value is entered in the Waiting Period field, type the unit of time in which the waiting period is measured.
- Service Class

If you select hours for the waiting period unit, select a service class that identifies which hours, by service code, will count toward the waiting period.
- Hours Type
-
If you select hours for the waiting period, select which type of hours will count towards the waiting period.
The Option used will have dependency on the balance and enrollment type defined on the plan. For plans with a balance type of 1 = Employee Group and an enrollment type of 2 = position code, the eligible positions are shown on the Employee Absence Plan Enrollment (LP32.1) records which you access from Employee Absence Plan Master (LP31.1).

If the waiting period start date is different than the requirement date, identify whether the earlier or later of the resulting dates once the waiting period is applied should be used for the accrual start date.
- Nearest Point

If points are specified for setting the accrual start date, select the value to identify if the nearest point before (prior) or after (next) the requirement is met will be used.
- Points

If the accrual start date needs to fall on a specific calendar point (i.e. first of a month) enter the month and day values to identify these points.
- Pay Cycle Adjust

Select whether the Accrual Start Date should be adjusted to coincide with the employee's pay periods.
This is valid only when the Pay Plans are defined in the system. If the accruals need to align with pay period end dates, select a value of 1. The accrual start date will be set to a date that matches the end of a pay period.
- Accrual From Option

Select the date from which accruals begin. Accrual Start Date identifies the date on which accrual transactions will start calculating.
If a waiting period has been applied to the requirement date, this field identifies whether the employee should receive accruals back to the original requirement date or not.

Select the table used for hours accruals.
- Earnings Table

Select the table used for earnings accruals.

On the Allotment tab, use the following guidelines
to enter field values:
- Date

Select the date on which the first allotment will be calculated. A value is required in either this field, the Date User field, or the Calendar Date field.
- Date User Field

If the allotment requirement is based on a user-defined date field, select the field that will be used. A value is required in either this field, the requirement Date field, or the Calendar Date field.
- Calendar Date

If this is an allotment based on a specific calendar date, type the date here. A value is required in either this field, the requirement Date field, or the Date User Field.
- Allotment Point

If the allotment occurs annually on a specific calendar point other than the month and day of the accrual begin date, use this field to set the point.
Note: Do not use this for one time allotments. - Allotment Period

Identify the number of units that define the allotment period.
If a value is entered in this field, a value must be selected in the Units field.
- Allotment Unit

Select the unit in which the allotment period is measured. This field only valid when an amount is entered in the allotment period field.
This value must coincide with the cycle frequency used for accruals if adjusting allotments by accruals.
- Occurrence

Select whether this is a one-time allotment, or whether it occurs annually.
- Relation To Accrual
-
If both accruals and allotments are defined for the rule, identify how accruals and allotments are related.
Select option 3 = Adjust allotment by accruals, if accruals are being calculated for comparison to the allotments given. Run Allotment Adjustment Calculation (LP145) to generate the adjustment transactions when accruals differ from the allotments.
- Relation to Eligibility

Select whether eligibility rules should apply to allotments. If you select Independent of Eligibility, allotments are available immediately when given. If you select Apply Eligibility Begin Date, allotments become available on the Eligibility Begin Date.
- Pay Cycle Adjust

Select the value that determines whether the Eligibility Begin Date should be adjusted to coincide with the employee's pay period end date. If the allotments must be aligned with the end dates of pay periods, select a value of 1.
This is valid only when Pay Plans are defined in the system.

Select the table to be used for hours allotments.
- Earnings Table

Select the table to be used for earnings allotments.

On the Allotment Wait tab, use the following guidelines
to enter field values:
- Waiting Period Start

If a waiting period must be satisfied before an allotment is given, select the date from which the waiting period begins.
If a value is selected, the Waiting Period and Unit fields are required.
- Waiting Period

Type the waiting period that must be satisfied before an allotment is given.
If a value is entered here, a Unit must be specified.
- Unit

If a value is entered in the Waiting Period field, select the value that identifies the unit of time in which the waiting period is measured.
- Service Class

If you select Hours for the waiting period unit, select a service class that identifies which hours, by service code, will count toward the waiting period.
- Hours Type

If you select Hours for the waiting period unit, select which type of hours will count towards the waiting period.
The option used will have dependency on the balance and enrollment type defined on the plan. For example, if you select 01 Plan, only the hours worked for the employee's eligible positions are considered. For plans with a balance type of 1 = Employee Group and an enrollment type of 2 = position code, the eligible positions are shown on the Employee Absence Plan Enrollment (LP32.1) records which you access from Employee Absence Plan Master (LP31.1).
