Transferring employees to another absence plan

Use the following procedure to transfer date, balances, and so on from one individual employee master to another.

Note: This procedure does not transfer historical transactions.

Performing mass absence plan transfers

Before you transfer absence plan data, run Employee Absence Plan Update (LP100) to update employee enrollments.

Note: If you perform a transfer after you run LP140, but before closing the run with LP197, the employee may require a manual adjustment.

To transfer employees to another absence plan

  1. Access Employee Plan Transfer (LP80.1).
  2. Select a company and employee. On the Transfer form tab, use the following guidelines to enter field values:
    Effective Date

    Type effective date of transfer.

    This date is used as the transaction date for the balance amount transfer transactions. It is also be used as the plan entry date in the plan being transferred to, if the employee master does not already exist. If field is left blank, the current system date will default.

    Transfer From Plan

    Select the plan from which values will be transferred.

    Transfer From Structure Group

    Select the employee group on the plan structure from which values will be transferred.

    Transfer From Position

    If the plan has a Balance Type of Position, select the Position that identifies the employee master from which values will be transferred. If the plan has Balance Type of Employee Group, leave this field blank.

    Transfer To Plan

    Select the plan to which values will be transferred.

    Transfer To Structure Group

    Select the employee group on the plan structure to which values will be transferred.

    Transfer to Position

    If you selected Position in the Balance Type field of Absence Plan (LP01.1), identify the position for the employee master to which values will be transferred. If the Balance Type is not Position, leave this field blank.

    Set Master Override

    Select whether the master override flag should be set on the new master record.

    This is needed if :

    • The employee is being overridden into a plan structure (that is, the employee is not a member of the employee group on the plan structure); or

    • The position being assigned to the employee master in the plan is not an active position for the employee; that is, does not exist on Multiple Positions, Jobs (PA13.1).

    Transfer All Dates

    Select whether the dates from the employee master should be transferred.

    If you select yes, the To fields on the Dates tab are populated with the appropriate values from the From plan. You can remove the dates or enter different ones if needed before performing the transfer.

    Transfer All Balances

    Select whether all balances should be transferred.

    If you select yes the amounts to be transferred are populated with the balances from the From plan. You can remove the values or enter different ones if needed before performing the transfer.

    Transfer GL Accts, Activities

    Select whether GL account and Activity data should be transferred. If yes is selected, the GL Account and Activities fields will be populated with values from the "From" plan. You can remove the values or enter different ones if needed before performing the transfer.

    Transfer Overrides

    Select whether override tables and/or amounts should be transferred.

    If you select yes, the fields in the Override tab will be populated with values from the "From" plan. You can remove the overrides or enter different values if needed before performing the transfer.

    Transfer Enrollments

    Select whether the enrollment records attached to the employee master record should be transferred. Enrollments can be transferred only if the Balance Type and Enrollment Type are the same in both plans.

    End Employee Plan

    Select whether accruals are to end in the plan from which values are being transferred.

    If you select yes, the Accrual End date will be populated with the Effective Date of the transfer, if not already populated. You can override this with another date, if needed.

    Create Zero Balances

    Select whether the balances being transferred from should be zeroed out.

    If you select No, no transactions that decrement the balances from which amounts are being transferred will be created.

    If you select Yes, the transfer will result in transactions for the "From" plan that zero out all balance amounts, regardless of whether the full amount is being transferred to the new plan or not. If you select Offset Transferred Amount, transactions to offset the exact amount being transferred will be created.

  3. On the Dates form tab, enter dates in the Transfer To fields. Use the following guidelines to enter the field value:
    Accrual End Date

    If you select Yes on the End Employee Plan field (on the Transfer tab) this date will display the Effective Date of the transfer, unless field already holds a value. You can select or change this date prior to performing the transfer.

    A date is required if accruals and/or allotments in the "From" plan are to stop.

  4. If you are transferring balances, enter amounts in the Transfer To fields of the Balance tab.
  5. If you are transferring accounts, enter the accounts in the Transfer To fields of the GL, Activities tab.
  6. Access and run Employee Absence Plan Calculation (LP140) to process the manual transactions you created in LP80.1 and LP180.
  7. Access and run Absence Plan Close (LP197).
