To set up for year-end processing

  1. Access Period, Year End GL Commitments Processing (GL197).
  2. On the Main tab, use the following guidelines to enter field values:
    Company or Company group

    Select the company or range of companies to which you want to set up year end processing or select a company group.

    Report Option

    Select Summary (default) or Detail.

    Update option

    Select Report Only to create the report. Select Update to update and run the report.

  3. On the Budget Actuals tab, select Budget Actual in the Encumbrance Method field.
  4. Run GL197 in update mode.
  5. Post the resulting budget journal created by GL197. See To post a budget journal entry in the Ledger Budgeting User Guide (FBUG).

    Note: Once GL197 has been run, prior year budget edits are not valid.

    At year end, GL197 must be run prior to matching a Purchase Order encumbrance with a subsequent year invoice.

    You cannot unrelease a GL Journal that contains prior year(s) Budget Actual transactions.

    Detail Match as a match rule is preferred for a Budget Actuals company.

    Caution: 
    If GL197 has been run and the last period remains open, and a partial quantity is invoiced, a cost change different than the purchase order may cause next year’s budget actuals and budget edits to be invalid.
    Caution: 
    Once GL197 has been run, unmatching a prior period invoice will not update the appropriate Budget Actuals year and period. If unmatch is required, it must be performed after the year-end close (GL199).
