Defining Deliverables (GM15.3)

Grant Deliverables (GM15.3) allows grant managers to store information about different reports, information or other deliverables that need to be sent to a grantor or grant sponsor. Grant personnel may be responsible for deliverables such as project reports, technical reports, equipment reports, or other deliverables defined by the sponsoring agency. Adding grant deliverables to a grant during setup allows the ability to track the assignment and completion of deliverables through the life of the grant project. The exact same deliverable, such as the Federal Financial Status Report (SF-425), may be submitted at various time frames throughout the life of a Grant. This program allows the ability to define the same deliverable code with multiple due dates and view those deliverables by due date, earliest to latest.

You define deliverables prior to the grant setup on Codes (GM02.1). You can use Grant Deliverables (GM15.3) to add deliverables to a grant and to track the assignment and completion of deliverables.

To set up grant deliverables

  1. Access Grant Deliverables (GM15.3).
  2. Type or select the Grant number. This must be a valid grant defined via Grant (GM15). Grants are funds disbursed by one party (grantor) often a government department or agency to a recipient (grantee).

    If the deliverables list is longer than a page, this field displays the deliverable code for the first line of the next page. You can select another deliverables code to locate the first occurrence of that deliverables code

    Date

    Type a specific due date for delivery codes where you want the inquiry to begin.

    Sort Order

    Select a deliverable sort order by Deliverable Code (default) or Due Date.

  3. Assign deliverables to the grant activity. Use the following guidelines to enter field values:

    Deliverable

    Select the Grant Deliverable Code (key field) that identifies the deliverable required by the grantor or funding source. This is the Grant Management code representing a grant deliverable. GM codes are established via GM Codes (GM02). Grant deliverable codes are created with a type = DE. A grant deliverable code can be assigned as a deliverable more than once using a different due date. For example a grant may required a deliverable of an SF-425 report on quarterly basis.

    Type or select the Human Resources Company for the employee responsible for the deliverable.

    Responsible Employee

    Type or select the Human Resources Employee identification of the person responsible for the deliverable.

    Due Date

    Type or select the date the deliverable is due to the grantor.

    Delivered Date

    Type or choose the date the deliverable was submitted to the award grantor. All deliverables must have a delivered date entered before the grant can be closed.

    User ID

    Displays the login ID of the user who updates the Delivered Date field.

  4. Click Add.
