Contract Pay Administration setup prerequisites

Before using the Contract Pay Administration application, consider your organization's work schedule, contract assignment, payroll, and time and attendance needs. Then determine the company structure, employee positions, position rules, step and grade schedule, pay structure, general ledger (GL) setup, and time record parameters that best fit those needs.

When you set up your Contract Pay Administration application, consider these requirements:

Other Infor applications

  • Human Resources (HR). The Human Resources application is required for process level and general company setup.

  • Payroll (PR). The Payroll application must track time records, overtime calculation, and payroll amounts.

  • Personnel Administration (PA). The Personnel Administration application is required for employee position setup.

  • Absence Management (LP). The Absence Management application is required for tracking docked hours.

Positions

  • Employees can be set up with one or multiple positions. Primary positions are based on Employee (HR11.1) records, while multiple positions are based on Multiple Positions and Jobs (PA13.1) records.

  • Unique position definition and descriptions should reflect how the school district will report on and account for the time and pay tied to the position, position level, and contract.

    For example, an English teacher can teach both eighth grade and ninth grade English. This can be set up as two positions and two contracts, where there is a contract for position 1 as eighth grade English and the other contract is for position 2 as ninth grade English, or this can be 1 contract with the 2 different position codes/levels that roll up to the contract or this can be a single contract with a single English Teacher position code.

Employee pay information

  • Every employee must be assigned a full-time equivalent (FTE).

  • Every employee must have a rate of pay.

Pay Structure

  • Regular and reserve pay codes must be set up separately.

  • If you are using the Absence Management application, then a unique docking pay code or unpaid pay code is required. If you are not using Absence Management, then the pay code will be used to manually specify unpaid time which will dock the contract balances.

  • The contract pay class on the contract rule must include regular and reserve pay codes.

  • Supplemental assignment pay codes must not be tied to the contract or docking pay classes identified on the contract rule to ensure accurate payment and balance calculations.

  • The docking pay code must not be tied to the contract pay class but must be tied to the Docking Pay class to ensure accurate payment and balance calculations.

General Ledger setup

  • Consider how positions will be posted and reported when you set up accounting.

Time records

  • A separate time record will be created for each distribution assigned to a base contract or a supplemental assignment record, or both.
