Processing Individual Invoices

Use this procedure to process individual invoices that are currently unreleased, released or pending. Through Invoice Control (BR45.1), you can release or unrelease an invoice, or preview and submit an invoice.

To process individual invoices

  1. Access Invoice Control (BR45.1).
  2. To view the invoices, use the following guidelines to enter field values:
    Company

    Type or select the company assigned to the invoice to display.

    Customer

    Type or select the customer assigned to the invoice to display.

    PO Nbr Interface

    Select whether to view the invoice(s) using WBS Invoice Number (1) or Customer PO Number (2). The default is WBS Invoice Number.

    Note: The WBS is a sequential invoice number for the invoice group which is maintained on the activity (AC10). This is used by Government contractors to keep invoices sequentially numbered when billing different posting activities separately within a contract.
    Reason Code

    Type or select a reason code for the invoice.

  3. For each invoice you want to process, select the appropriate action in the FC field.
    Release

    Select R to release an unreleased invoice.

    Unrelease

    Select U to unrelease a previously released invoice.

    Select

    Select X to select an invoice to be submitted or previewed.

  4. Click the Filter button to use Filter (BR45.2) to narrow down the invoices that display on Invoice Control (BR45.1).Use the following guidelines to enter field values:
    Invoice Prefix

    Type or select the invoice prefix of the invoices you want to display.

    Process Level

    Type or select the process level of the invoices you want to display.

    User Name

    Type or select the name of the user for the invoices you want to display.

    Invoice Date

    Type the starting date and ending date for the date range of invoices you want to display.

  5. Click the Output Options button to use Other Options (BR45.3) to specify other options for the Invoice Control (BR45.1) process. Use the following guidelines to enter field values:
    Invoice Comments

    Select whether to include invoice comments on the invoice. The default is No.

    Invoice Register

    Select whether to include an invoice register with the invoice. The default is No.

    Bill, Unbill Report

    Select whether to print a report that shows billed and unbilled amounts. The default is No.

  6. Select the Change form action on Invoice Control (BR45.1) to update the invoice status, or use the Submit special action to proceed with a final print of the invoice. The Preview special action creates a BRIP report that displays the invoice detail.
