Calculating Invoice Amounts for a Single Customer

Use this procedure to create a single invoice for a customer that includes contracts you select on Single Invoice Calculation (BR19.1). BR19.1 is an on-line, single customer alternative to the BR120 program. Contracts for a company and customer will be displayed. The user can choose the contracts to include in the invoice. All contracts selected will be included on one invoice. The invoice will be created when the contracts selected are submitted. The Invoice Edit (BR20.X) forms can be accessed for editing the invoice. The invoice created has a status of unreleased.

To calculate invoice amounts for a single customer

  1. Access Single Invoice Calculation (BR19.1).
  2. Use the following guidelines to enter field values:
    Company

    Select the company for the customer. The company can be an AR company or an AC Company. The combination of the company and customer is used to narrow the transactions used to calculate billable amounts.

    Customer

    Select the customer number for which you want to calculate billable amounts. The customer can be an AR customer or an AC customer. The combination of company and customer is used to narrow the transactions included in the billing calculation.

    Invoice Currency

    Select the currency to use for the invoice. All contracts selected should have the same currency. The AR company currency is the default, but can be overridden.

    Through Date Option

    Select either the transaction date or posting date to as the date to use to include billable transactions. The default is the transaction date.

    Through Date

    Type the date to use to include transactions on the invoice. If left blank, all posted billable transactions through the current system date within the company and customer are included.

    Display Billable Amt (Amount)

    Select whether to display billable amounts on the invoice. Selecting No will improve performance since the display of billable amounts requires calculations on the fly. The default is No.

    Invoice Date

    Type the date for the invoice. If left blank, the system date is used.

    Omit Zero Contracts

    Select Yes to display only those contracts within the selected criteria that have billable transactions. Select No to display all contracts meeting the selected criteria even if there are no billable transactions. These transactions can not be selected for invoicing and are for display only.

    Note: If none of the contracts on the invoice contain billable transactions, an invoice header is created with no detail records.
    Posting Date

    Type the posting date of the invoice. If left blank, the system date is used.

    Single Contract

    Select if an invoice will contain multiple contracts or a single contract. No is the default and will create an invoice for each contract for an Invoice Group. Yes will create an invoice across contracts for a company/customer/customer invoice option.

    FC

    Select X in the FC field to select the contract(s) to include on the invoice. Use the Select All or Unselect All special action buttons to select or clear all FC fields.

  3. Click the Output Options button to specify additional options for the invoice on Other Options (BR19.4). Use the following guidelines to enter field values:
    Bill Overages

    Select whether to bill overages based on new ceilings. Yes will include the billable overage amounts on the invoice if there are any. These will only display on the print preview or final invoice. These amounts will not be reflected in the Billable amounts on BR19 or BR20. The default is No.

    Note: After your ceiling is lifted, use this option to bill the current overages until they reach the new ceiling limits.
    Final Invoice Label

    Select whether the invoices for the contract activity or activities should be marked as final invoice(s). The default is No.

    Invoice Comments

    Select whether to include invoice comments on the invoice. The default is No.

    Invoice Register

    Select whether to include an invoice register with the invoice. The default is No.

  4. Click the Override button to access Invoice Calculation Override (BR19.3). The override provides a method to select a single customer invoice option to use when all contracts selected for the invoice do not have the same customer invoice option.
  5. Click the Filter button to access Filter (BR19.2). Use the filter to narrow down the records included on the invoice.
  6. Use the Preview special action to view the billing amounts without creating the actual invoice. Use the Submit special action to calculate billing amounts and create the invoice.
    Note: The tax rules or service location assigned to the customer are used to calculate the tax amount on the invoice, despite the customer invoice option selected here.

Follow-up Tasks

  • Use the invoice edit (BR20.x) forms to edit the invoice if needed.

  • Use Invoice Control (BR45.1) to release and print the invoice, and to interface records with Account Receivable and General Ledger.

  • Run Revenue Realization (BR131) to make corresponding revenue adjsutments if adjusments were made to an invoice. Updating Revenue with Revenue Realization
