Renewing Maintenance Schedules Using a Batch Program

Use this procedure to renew all products in all maintenance schedules associated with one or more contracts using Maintenance Schedule Copy (BR155). This renewal option allows you to renew all schedules that expire in a given timeframe.

Note: Included maintenance schedules can not be moved to another contract during the copy process.

To renew maintenance schedules using a batch program

  1. Access Maintenance Schedule Copy (BR155).
  2. On the Activity tab, use the following guidelines to enter field values:
    Activity Group List, Activity Group, Activities, or Activity List

    Type or select the activity group list, activity group, activities, or activity list to include in the maintenance schedule renewal.

    Maintenance End Date

    Type the range of end dates for schedules that are to be included for renewal. The end dates for schedules to be renewed must be in this range.

    Product Status

    Select the status of products that should be included for maintenance renewal.

    • All (A) is the default and will include all products except those with a status of Cancelled Invoice or Cancelled Maint. The default is All.

    • Processed (P) includes all products that have been billed and invoices created.

    • Free Maintenance (F) allows free maintenance schedules to be renewed independently of billed products.

    Base Amount

    Type or select what Base Amount will be used for the Maintenance schedule amounts. Valid values are: (T) Original Amt Term Adjusted, (O) Original Amount.

    Update

    Select whether to update the activities you selected with renewed maintenance schedules, or view a report of the schedules that will be created when you update.

    Select Yes to create the renewed maintenance schedule(s). Select No to get a report instead of updating. The default is No.

  3. On the Other Options tab, use the following guidelines to enter field values:
    Copy to Schedule

    Type the name and description of the new maintenance schedule being created.

    Extend to Date

    Type the new ending date for the maintenance schedules that are created by this program.

    Markup Percent

    Type the percent markup applied to each renewed product. The percent is multiplied by the maintenance amount for the product being renewed.

    Refresh Default Accounts

    Select whether or not to trigger the refreshing of default accounts for the maintenance schedule. The default is Yes.
