Options for entering and applying cash: Multiple Currency applications

Note: Transactions that do not have valid line items are displayed in AR34.1. For transactions with a single due date, an open amount displays, but no line item details are present. For transactions that have multiple payment obligations (multiple due dates), each obligation displays as a line item without an item number.

Multiple currency application allows you to process transactions when company base, transaction, and payment currencies are all different.

Note: If you want to display only those open items that have a specific currency, then use the Selection Criteria filter to limit the display of open items to that currency. Click Filter to open the Selection Criteria subform. Go to the Transaction tab to specify or select a currency code. These items will also be selected for application.

AR30.1 displays all open items for the customer. These are the ways on how the open item currency amounts display:

  • Open items that have the same currency as the payment, display in payment currency.

  • Open items that have a different currency from the payment, display in payment currency when a currency relationship is defined between the payment and transaction.

  • Open items that have a different currency from the payment, display in transaction currency when a currency relationship is not defined between the payment and transaction.

    Note: You cannot apply the payment to the open item or select the item for automatic application on AR130 if the currency relationship or rate does not exist. You will receive an error message indicating that a currency relationship does not exist. AR30 allows all items to be retrieved but the currency edit prevents an incomplete currency application from occurring.
  1. Access Line Item Application (AR34.1) to enter and apply cash to valid line items created in Line Item Entry (AR42.8) or interface from an external source.
    Note: If you do not know the customer, then specify a valid transaction number. The payment will automatically be assigned to the correct customer.
  2. Specify the payment number that identifies the cash, such as the check number or wire transfer number. Select the company, specify a batch number, payment amount, and customer.
  3. To apply cash, select the Add line action next to the obligations that you want applied. You must select a transaction number to apply cash at the line item level. Fully applied items do not display on these forms. Consider these tasks:
    Create a Chargeback

    Click Memo to access the Chargeback Memo (AR34.3) subform. Use the subform to create and maintain memo chargebacks. You can define general ledger account information for the chargeback. See Creating chargebacks and return to makers.

    Write-off a Payment

    Click Write-off to access the Payment Write-off (AR30.3) subform. Write off the payment. You can define general ledger account information for the write-off.

  4. To unselect records, consider these options:
    Unselect all applications associated with a payment

    Select the Unselect form action.

    Unselect individual applications associated with a payment

    Select the Delete line action next to the selected open item and process it using form action Change. Once you have made the corrections, you can process the applications.

  5. These steps create selected records that are not applied until you select the Process form action. Or you can run Automatic Application (AR130) to process the records.
  6. Click User to open Payment User Fields (AR21.9).
  7. Specify user-defined data in the fields. The information entered here is for reference only. The value of the field is defined on Company (AR01.1).
