To group obligations

  1. Access Transaction Obligation Grouping (AR44.1).
Note: AR44 will not group transactions with different currencies into a new debit or credit memo. If you have transactions for a customer in multiple currencies that you want to group, you must create new memos by currency.
  2. You are required to define selection criteria before you can group obligations. Click the Filter button to open Filter Options (AR44.2). Select the dates, amounts, or codes you want to display. You can display transactions for a national account customer, this field indicates whether to display transactions for invoiced customers that are part of the national account.
  3. To display the obligations selected to be grouped, select a Select Records form function. Select the transactions you want to include in the obligation grouping. Depending on the net total of the obligation grouping, a credit memo or debit memo will be created.
  4. Once the transactions have been grouped, they must be released. Select the Release form function to open Release Information (AR44.3).
Note: If Terms are not left blank, the due date cannot be entered. If both Terms and Due Date are blank, the customer's memo terms code is defaulted.
  5. Use this form to define information for the new debit or credit memo. Use the following guidelines to enter field values:
    New Memo Number

You can manually assign a number or have the application assign one for you.

    New Process Level

Assign the new grouped obligation to a process level which will default a new AR code.

    Group Reason Code

Select a reason code as defined on Adjustment Reasons (AR15.1).

    Additional Charges

You can assess additional charges to the new obligation if needed.

    Company and/or Customer

A new obligation can be assigned to a new company and/or a customer.

  6. Use the Release form action to create the memo. You can use Review Grouped Obligations (AR37.8) to view all obligations that were grouped to create a new debit memo.
