Period, Year End GL Commitments Processing (GL197)

Run Period, Year End GL Commitments Processing (GL197) to roll commitment and encumbrance detail records (GLCOMMITX (UNIX/Windows) or DBGLGOX (IBM i)) forward to a future period.

You can also run GL197 at year end to accrue commitment and encumbrance expenses or roll commitment budget forward.

Processing effect

If you are rolling commitment and encumbrances forward, the following table explains the processing logic for rolling forward:

Current	Blank (Next Period)	All records for the current year, for the current period and prior will roll forward to the next period.
Current	1-13 (period specified)	All records for the current year through the prior period will roll into the period specified. The period cannot be greater than the current period.
Prior Years	Blank (Next Period)	All records for the prior year(s) will roll forward to the current year next period.
Prior Years	1-13 (period specified)	All records for the prior year(s) will roll forward to the period specified in the current year. The period cannot be greater than the current period.

Note: Before you run Period, Year End GL Commitment Processing (GL197) to accrue commitment and encumbrances, you must define a commitment accrual account on Detail Account (GL00.3).

If you choose to accrue commitments and encumbrances, the system will use the accrual account to offset the expenses from the commitment and encumbrance records and crate an auto-reversing entry in the current period that debits expenditures and credits the commitment accrual account. Also date fields in GLCOMMITX (UNIX/Windows) or DBGLGOX (IBM i) are updated to move the amount forward. GLCOMMIT (UNIX/Windows) or DBGLGOT (IBM i) balances are updated for the current and next year.

If you choose to update the next year commitment budget, the current period for your company must be the last period in the year and a valid posting account must be entered in the Account field. Date fields in GLCOMMITX (UNIX/Windows) or DBGLGOX (IBM i) are updated to move the amounts forward. GLCOMMIT (UNIX/Windows) or DBGLGOT (IBM i) balances are updated for the current and next year.

Note: You cannot accrue commitments and encumbrances and update the next year budget. In other words, you cannot select Yes in both the Accrue Commitments, Encumbrances and Update Next Year Commitment Budget fields.
