To define a distribution group in the Lawson Interface Desktop (LID)

  1. Access the Distribution Group Definition utility (grpdef):
    • From the Job Control menu, choose Distribution Group Definition.

      - or -

    • At the command prompt, type:

      grpdef

  2. On the Distribution Group Definition form, type or select the following information:
    Group Name

The name of the distribution group.

    Description

A short description of the distribution group.

    User Name

The user being added to the distribution group.

You can select any user to add to a distribution group. However, when you assign a distribution list group to a user, all users in the distribution groups that belong to the distribution list group must also belong to the user group assigned in the user profile.

    Auto Print

Determines whether to print the print file on a printer. The default is No.

Yes prints all print files distributed to this user on the printer in the Printer field.

If you select Yes in the Auto Print field, the system puts Yes in the Save field, the user's default printer in the Printer field, and 1 in the Printed Copies field. To accept these default options, press Enter. To change the default options, select the field you want to change and make the changes.

No means that when you send a print file or report to the distribution group, the system does not print the print file assigned to this user. Instead, when the job runs, the system makes the report available to the user through the Print Manager.

    Save

Yes makes the report available to the user through the Print Manager.

No means the report is not available to the user through the Print Manager.

You cannot select No in the Save field if you select No in the Auto Print field.

The system creates only one physical copy on the server hard drive, regardless of the number of users the job was distributed to.

    Printer

If you select Yes in the Auto Print field, the system selects the default printer assigned to the user.

To change the printer, type or select a new printer name. You may select from only those printers in the user's printer group.

If you select No in the Auto Print field, you must leave this field blank.

    Printed Copies

The number of copies to be printed on the printer designated in the Printer field. If you select Yes in the Auto Print field, the system puts a 1 in the Printed Copies field. You can change this number.

Note: The number of printed copies does not include the copy that the system sends to the Print Manager.

If you select No in the Auto Print field, you must leave this field blank.

  3. Repeat step 2 for each user you want to include in the distribution group.
  4. Press Enter twice to save the distribution group definition.
