Configuring a document flow with sFTP

Use the Secure File Transfer Protocol (SFTP) to import files to ION so that they are available in LSP.

  1. In ION Desk, select Connect > Data Flows.
    A list of existing document flows is displayed.
  2. Click the Import button and browse for the document flow to be imported.
  3. Open the newly imported document flow.
  4. Click the ExternalFiles box.
  5. Click File Activity Properties.
  6. In the File Connector dropdown, select ExternalFiles_sFTP.
  7. Click Save.
  8. Click Details.
  9. Specify these details on which the Shared Folder is located:
    • Host name or server
    • Port number
    • User Name
    • Password
  10. Click Test to verify whether the connection is working.
    Note: A message is displayed that indicates whether the test is successful. If the test is unsuccessful, correct the connection details and try again.
  11. Click the Documents tab.
  12. The file connection point comes with pre-defined input folders. Modify each documents Read/Write Location to the exact folder location in the server starting with a backslash (\).
    Example (for invoices folder):
    Read Location: \C:\Documents\Mexico_cfdi\Invoices
    Error Location: \C:\Documents\Mexico_cfdi\Invoices\error
    Archive Location: \C:\Documents\Mexico_cfdi\Invoices\archive
    A message is displayed to inform you whether the test is successful or not.
    Note: If an error is encountered, ensure that the data folder of the file connection point is set to Shared to the connection point’s specified user with Full Permission.
  13. Click Test on each document to validate the configuration.
    Note: A test is done to check if the specified Write Location is accessible using the specified connection configuration. This test also validates if the credentials that are provided have the required privileges. A message is displayed to inform you whether the test is successful or not.
    Note: If an error is encountered, ensure that the data folder of the file connection point is set to Shared to the connection point’s specified user with Full Permission.
  14. Click Save.
  15. Go back to the document flow
  16. Click the document icon between ExternalFiles and LSP in.
  17. Select all the required documents.
    Note: See the Document Directions on the integration included in your Components checklist.
  18. Click Save.
  19. Click the LSP in box.
  20. Under Application Activity Properties, click the plus (+) sign.
  21. Specify the selected LSP connection point to add BODs used in the document flow.
  22. Return to the document flow.
  23. Click Save.
  24. Click Activate.
    Connection points are not activated separately. When you activate a document flow, the associated connection points are activated.
    Note: If you are setting up for accounting entities under a reporting entity OR accounting entities with the same Tax ID, you must perform these steps:
    1. Create an additional ExternalFiles_sFTP by copying the first file connection point then repeat steps 9 to 14.
    2. Go back to the document flow then create a parallel connection between the two points.
    3. Repeat steps 16 to 18.
    4. Reactivate the flow.
    5. Perform the steps in AE/Logical ID Translation Maintenance. Take note of the Logical ID of each points.
