Use this session to view, enter, and maintain invoice-from business partners.

You can start this session from:

  • The Invoice-from Business Partners (tccom4522m000) overview session, by double-clicking a record, or by entering a new invoice-from business partner.
  • The Business Partners (tccom4500m000) overview session, by clicking Invoice-from Business Partner on the appropriate menu.
  • The Business Partner (tccom4100s000) session, by clicking the Invoice-from button.
  • Stand-alone.

The lines on the tabs refer to these sessions:

  • Activities

    Refers to the Activities (tccom6100m000) session. On this tab, you can view, enter, and maintain activities by invoice-from business partner.
  • Notes

    Refers to the Notes (tcstl1550m000) session. On this tab, you can view, enter, and maintain the notes that are linked to the invoice-from business partner. If you double-click a line or enter a new note on this tab, the Note (tcstl1650m000) session is started.
  • Contacts

    Refers to the Contacts by Business Partner Role (tccom4545m000) session. On this tab, you can view, enter, maintain, and delete contacts by invoice-from business partner and define whether or not the contact is the primary contact for an invoice-from business partner. If you double-click a line on this tab, the Contact (tccom1640m000) session is started.
  • Additional Attributes

    Refers to the Attributes by Business Partner (tdsmi1101m000) session. On this tab, you can add attributes to an invoice-from business partner.

Field Information

General
Invoice-from Business Partner

Department

The department that is linked to the business-partner role. The business partner's financial data for the role is registered in the financial company to which the department is linked.

Workflow Status

The status that is applicable if the business object requires authorization approval using ION Workflow.

When you perform a change that requires authorization, a checked-out version is automatically created for the business object. The changes you submit are only effective after approval/check-in. You can also undo your changes, or recall your submitted changes.

  • Checked-out and checked-in objects are displayed in the Checked-out Objects (ttocm9599m000) session.
  • From the appropriate menu of this session, select Workflow and execute the required action for the business object.

Allowed values

Draft

The object is checked out. It can be changed and saved multiple times until the user submits the changes.

Pending

Any changes made to the object are submitted. The object is pending for approval. The data of the object cannot be modified.

Recall Requested

The object was already submitted, but is recalled by the user. Approval will not take place anymore. If the recall is accepted, the object status becomes Draft (Revision). If the Recall is rejected, the object status becomes Pending.

Draft (Revision)

The object was recalled after it was submitted and the recall is accepted. The object can be changed and saved multiple times until the user submits the changes.

Rejected

The submitted changes to the object are rejected. The user can make changes to the object and submit these changes again, or discard all changes.

Approval Received

The submitted changes to the object are approved. The object will automatically be checked in. If the check-in fails, the status remains Approval Received. An administrator must decide what to do with the object.

Approved

The submitted changes to the object are approved and the object is checked in.

Not Applicable

The object is checked in. Instead of an Object status, an Approval status is applicable.

The invoice-from business partner's address.

Address Line 1

The first part of the address, as defaulted from the Address Line 1 field in the Addresses (tccom4130s000) session.

Address Line 2

The second part of the address, as defaulted from the Address Line 2 field in the Addresses (tccom4130s000) session.

Address Line 3

The third part of the address, as defaulted from the Address Line 3 field in the Addresses (tccom4130s000) session.

Address Line 4

The fourth part of the address, as defaulted from the Address Line 4 field in the Addresses (tccom4130s000) session.

Address Line 5

The fifth part of the address, as defaulted from the Address Line 5 field in the Addresses (tccom4130s000) session.

Address Line 6

The sixth part of the address, as defaulted from the Address Line 6 field in the Addresses (tccom4130s000) session.

Business Phone

The phone number at the business address.

Note: If a full business phone number is specified, based on the field values in the Phone Number Data group box of the Countries (tcmcs0110s000) session, the full number is automatically split in the Business Phone Number Details (Invoice-from BP) (tccom4122s200) session. Click the Details button to start this session.
Primary Contact

The business partner's primary contact.

Note: If this field is filled, the invoice-from business partner is also linked to the contact in the Business Partner Roles by Contact (tccom4546m000) session.

Full Name

The contact's full name.

Use this field to enter a text related to the invoice-from business partner.

Status
Business Partner Status

If there are outstanding sales orders or open invoices for the business partner, you cannot change the status from Active to Prospect.

Allowed values

Active

If the business partner (role) status is Active, you can use the business partner for business transactions. You must define the period for which the business partner is Active. If the period is expired, the actual status of the business partner becomes Inactive, and you cannot use the business partner anymore.

Inactive

If the business partner (role) status is Inactive, you cannot use the business partner for business transactions.

You cannot enter an effective date and an expiry date for the Inactive status.

Prospect

You can use the Prospect business partner (role) if you enter general business partner data but you do not enter details for a specific role. If no details for a specific role are defined, you cannot enter, for example, sales orders or purchase contracts because the sold-to role or buy-from role is not specified.

You must define the period for which the business partner is Prospect. If the period is expired, the actual status of the business partner becomes Inactive, and you cannot use the business partner anymore.

Not Specified

From

The date and time when this status takes effect.

If you leave this field empty, the status takes effect immediately.

To

The expiry date and time of the business partner's status.

If you leave this field empty, the status continues.

User
Created by

The user who defined the invoice-from business partner.

Creation Date

The date the business partner data was created.

Last Modified by

The user who last modified the business partner data.

Last Modification Date

The date the business partner data was last modified.

Detailed
Language

The language used for documents addressed to the business partner. If no document is available in this language, the document in the company language is used.

Business Partner Signal

If you select a signal here, the signal message is displayed when you enter the business-partner code in an LN session.

Business Partner Type

Vendor Rating

If you want to apply vendor rating to the business partner, select this check box.

Fax Number

The business partner's fax number at the business address.

Currency

The default currency used by the business partner for invoicing.

Exchange Rate Type

The exchange rate type for purchase.

Default value

The purchase exchange-rate type you have selected for the current company in the Companies (tcemm1170m000) session.

Financial Supplier Group

The financial business-partner group to which the business partner is assigned.

If you define the business partner role for more than one department, you must select the same financial business-partner group for all the departments of which the enterprise unit is linked to the same financial company.

Statement Method

The statement of account that you use for the business partner.

Subcontracting

If the associated buy-from business partner is a subcontractor, select this check box. You can then register additional subcontracting data for the business partner in the Subcontractors (tfacp3110s000) session in Financials .

In some countries, you must make payments of a subcontractor's purchase invoices to a blocked account. In the Bank Account by Pay-to Business Partner (tccom4125s000) session, you can indicate that the account is blocked.

If the business partner is a one-time business partner, you cannot select this check box.

Hold Reason for Purchase Invoices

The hold reason for purchase.

Transaction Reference

The transaction reference that is used as a default in the Received Purchase Invoices (tfacp1500m000) and Matched Purchase Invoice/Statement Line Transactions (tfacp1133s000) sessions.

Document Method

A three-digit code used to identify the credit note letters.

If you reduce payments to the business partner by the amounts of existing credit notes, you can generate and print an "assigned credit notes letter" with an overview of the credit notes and the related invoices and send it to your supplier. LN uses the layout and addressee that you specified in the document method definition.

If you leave this field empty, you cannot print assigned credit notes letters for the business partner.

Number of Extra Invoice Copies

The number of copies of the invoice in addition to the original invoice, that you want to print.

Retention Capped Amount
The maximum amount that is allowed to be retained.
Note: 
  • This field is displayed only if the Services Procurement field is set to Active or In Preparation in the Implemented Software Components (tccom0100s000) session.
  • The amount is expressed in the currency specified for the invoice-from BP.
  • The amount must be greater than zero.
Currency
The currency in which the amounts are expressed.
Current Retention Balance
The current balance of the retention amount.

  • This field is displayed only if the Services Procurement field is set to Active or In Preparation in the Implemented Software Components (tccom0100s000) session.
  • The amount is expressed in the currency specified for the invoice-from BP.
  • The amount must be greater than zero.
Self-Billing

If the Self-Billing check box is selected, specify a self-billing method to determine how self-billing is carried out.

The self-billing method determines several conditions such as the criteria for composing the invoice, the invoicing interval, and the output medium.

Transaction Template

The transaction schedule that is used as a default expense distribution when purchase invoice transactions are entered in the Purchase Invoice Entry (tfacp2600m000) session.

If a transaction template is specified here, and a user activates the Create Transactions from Template (tfgld1204s000) session, they can generate the standard expense distribution.

If this field is left empty, the value of the Ledger Account field will be used.

Ledger Account

The ledger account that is used as a default expense distribution if no transaction template is specified. This default will be used in the first transaction line.

Stage Payments
Invoice by Stage Payments
If this check box is selected, the purchase order is invoiced by stage payments.
Note: 
  • This field is displayed only if the Supplier Stage Payments check box is selected in the Implemented Software Components (tccom0100s000) session.
  • The application defaults this setting for a purchase order when the order is created.
Stage Payment Schedule
The code of the stage payment schedule that is defaulted when creating a purchase order.

This setting determines whether users must enter an invoice number.

Allowed values

  • Yes

    Users must enter an invoice number. Blank invoice numbers are not allowed.
  • No

    Users need not enter an invoice number.

    The setting of the Invoice Number Mandatory field in the ACP Parameters (tfacp0100m000) session applies.
Duplicate Invoice Check
Duplicate Invoice Check Parameters

If this check box is selected, the options for duplicate invoice checks are available.

Duplicate Invoice Number Allowed

If this check box is selected, LN allows duplicate invoice numbers per business partner.

If the generated invoice number already exists for the business partner and duplicate invoice numbers are allowed, LN displays a warning.

If this check box is cleared, duplicate invoice numbers per business partner are not allowed.

Check for Duplicate Amounts - Invoice Dates

If this check box is selected, LN displays a warning for the duplicate purchase date, amount and business partner. This check applies only to the current business partner.

Check for Duplicate Amounts - Order Numbers

If this check box is selected, LN displays a warning for the duplicate invoice order, amount and business partner. This check applies only to the current business partner.

Apply Checks across Companies

If this check box is selected, LN performs the check on duplicate invoice numbers in all the financial companies of the current financial group.

If this check box is cleared, LN performs the check on duplicate invoice numbers only in the current financial company.

Note: If the financial group contains many financial companies, checking for duplicate invoice numbers in all the companies can take some time.
Check Invoice Number against All Business Partners

If this check box is selected, LN performs the number check on invoices for all business partners.

If this check box is cleared, LN performs the number check only on invoices with the same business partner.

Check Invoice Number within Year of Invoice

If this check box is selected, LN performs the number check on invoices within the current year of the invoice.

If this check box is cleared, LN performs the number check on invoices within any year.

Date of Last Credit Review

You must review the credit rating regularly. This field records the date and time of the most recent review.

Payment Terms

The payment terms agreed with the business partner. These are default values that can be changed on the order as necessary.

Define payment terms in the Payment Terms (tcmcs0513m000) session.

Payment Days

The payment days you defined for the payment terms in the Payment Terms (tcmcs0113s000) session.

Payment days are fixed days of the month, on which payments are due. If payment days are specified, the calculated due date is changed into the next fixed payment day.

Payment Terms for Credit Notes

The default payment terms that apply to return orders.

Late Payment Surcharge

The late payment surcharge that the business partner charges. You can change these default values on the order as necessary.

The late payment surcharges that apply to return orders. You can change these default values on the order as necessary.

Pay-to Business Partner

The pay-to business partner to which you pay the invoices from this invoice-from business partner.

Note: 

One of the following must be true:

  • The invoice-from business partner and the pay-to business partner have the same parent business partner
  • The invoice-from business partner is the pay-to business partner's parent.

Dimension

The dimension of this dimension type to which LN by default posts the business partner's invoice amounts.

These dimension overrule the dimensions selected for the business partner group in the Accounts Payable module.

DAS 2
Expense Type

The default expense type for the business partner.

This expense type is linked to advance payments, unallocated payments and order related invoices.

If payments to the business partner must not appear on the DAS2 report, select Not Applicable.

SIREN Code

The business partner's SIREN code.

Establishment Code

The business partner's location identification.

Tax
Business Partner Tax Classification

The business partner's tax classification.

On the appropriate menu, you can click Withholding Tax Data to start the Business Partner Withholding Tax Data (tccom4127s000) session, which you can use to enter the business partner's details for withholding tax and social contributions.
