Using AFPs for MAS

  1. Access the Scope Document Lines (tpctm6601m000) session to create a scope document line.
  2. Specify this information:
    1. Line Type: Set this field to Amount Only.
    2. Cost Type: Set this field to Materials.
    3. Materials at Site Only: Select this check box to track the value of MAS only.
    4. Capped Amount: Specify the value of the MAS.
    Note: You can also set the Cost Type of the scope document line to Composite.
  3. Access the Scope Document (tpctm6600m000) session.
  4. Perform these actions:
    1. Select Set Status to > Active from the Actions menu to activate the scope document. The status of the scope document is set to Active.
    2. Select the Release for Application for Payment option from the Actions menu to release the scope document to an AFP. An AFP is generated in the Application for Payment (tpppc6630m000) session. The scope document lines are defaulted to the AFP lines.
  5. Access the Application for Payment Lines (tpppc6131m000) session.
  6. Specify this information:
    1. Materials at Site: The value of the MAS available at the project site.
    2. Previously Billed Materials at Site: The value of the MAS that is already billed. The net value of the MAS is calculated.
  7. Access the Application for Payment (tpppc6630m000) session.
  8. Perform these actions:
    1. Select Set Status to > Complete from the Actions menu. The status of the AFP is set to Ready to Submit.
    2. Select Set Status to > Submitted from the Actions menu. The status of the AFP is set to Submitted.
    3. Select the Financial Integration Transaction option from the References menu. The Integration Transactions (tfgld4582m000) session is displayed, wherein you can view the transactions generated for the applied amount.
  9. Access the Application for Payment Lines (tpppc6131m000) session.
  10. Specify the certified value of the MAS in the Materials at Site field in the Certified group box. The net certified value is calculated based on the previously billed value.
    Note: The certified value of the MAS must be less than or equal to the value specified in the Materials at Site field in the Materials at Site (Applied)group box.
  11. Access the Application for Payment (tpppc6630m000) session.
  12. Perform these actions:
    1. Select Set Status to > Certified from the Actions menu. The status of the AFP is set to Certified.
    2. Select the Financial Integration Transaction option from the References menu. The Integration Transactions (tfgld4582m000) session is displayed, wherein you can view the transactions generated for the applied and certified AFP amounts.
    3. Select the Create Installment for Applications for Payment option from the Actions menu to create installments for the certified AFP amount. The installment lines are generated in the Installments (tppin4151m000) session, wherein you can approve and transfer the lines to Invoicing.
  13. After the installments are created for the certified amount, a new AFP is generated if the current AFP is not the final AFP. In the new AFP, the previously billed value of the MAS is tracked, enabling you to bill the MAS without any errors.
