Sales Offices (tdsls0512m000)

Use this session to create, view, and maintain sales offices.

The default information affects the creation of:

Note: A default sales office can be assigned to a sold-to business partner. When you enter a sales order, sales schedule, quotation, or contract, LN retrieves the sales office from the user profile (sales). This value can be changed. Subsequently, LN checks whether the entered business partner/sales office combination exists in the business partner data. If the combination cannot be found, LN searches for the business partner (with a blank sales office) and uses that information for the order defaults.

Field Information

Sales Office

The code identifying the department.

The department is also entered in the Departments (tcmcs0565m000) session with the Department Type set to Sales Office.

Address

City

The department's city.

Calendar

You can select a calendar for use by the department.

Default value

By default LN uses the central calendar defined for the company's address in the Addresses (tccom4530m000) session.

Extra Intrastat Info

The default Extra Intrastat Info set for warehouse orders created by the sales office.

If you link a warehouse to the sales office, the extra Intrastat information set is the default extra Intrastat information set for orders created by the office. You can change the extra Intrastat information set on the warehouse order lines.

Labor Rate Code

The labor rate is used to determine the intercompany price for hours spent on fulfilling an order or project.

Part of Enterprise Unit

Note: The enterprise unit is displayed to inform a user to which financial company a sales order is posted.
Operational Company

The operational company to which the department belongs.

Financial Company

The financial company to which the department belongs.

This is the financial company to which the department's enterprise unit is linked. Transactions created by the department are posted to this financial company.

Site

The default site that is linked to the sales office.

Warehouse

The default warehouse that is linked to the sales office.

Note: LN automatically loads the warehouse in a sales order from the ship-to business partner. If no warehouse is related to the ship-to business partner, the warehouse defined in the user profile is used instead. When you define the user profile, the warehouse is defaulted from the sales office.

You must first define the default ship-from warehouse in the Warehouses (tcmcs0503m000) session.

Work Center

The code of the default work center associated with the sales office.

Default value

If a work center is linked to the sales office, this work center is automatically populated based on the selected sales office.

If the work center is not linked to a sales office, you can select the work center manually using the zoom option, from the Departments (tcmcs0565m000) session.

Note: You must define the work center in the Departments (tcmcs0565m000) session.
Order Series

The number group that is assigned to the sales office for sales orders and sales schedules.

Default value

LN retrieves the number group from the Number Group Sales Orders / Sales Schedules field in the Sales Order Parameters (tdsls0100s400) session.

Order Series

The series that is assigned to the sales office for sales orders.

Note: You must first define the series in the First Free Numbers (tcmcs0150m000) session.

Quotation Series

The number group that is assigned to the sales office for sales quotations.

Default value

LN retrieves the number group from the Number Group field in the Sales Quotation Parameters (tdsls0100s100) session.

Quotation Series

The series that is assigned to the sales office for sales quotations.

Note: You must first define the series in the First Free Numbers (tcmcs0150m000) session.

Contract Series

The number group that is assigned to the sales office for sales contracts.

Default value

LN retrieves the number group from the Number Group Sales Contracts field in the Sales Contract Parameters (tdsls0100s300) session.

Contract Series

The series that is assigned to the sales office for sales contracts.

Note: You must first define the series in the First Free Numbers (tcmcs0150m000) session.

Change Requests for Sales Orders

If this check box is selected, change requests are implemented for sales orders.

Note: 

This check box is enabled only if:

  • The Log Order History check box is selected.
  • The Start Logging Order History at field is set to Order Entry.
  • The Level of Order Intake History Logging field is set to All.

The code of the series used to create sales order change requests.

Note: This field is enabled only if the Change Requests for Sales Orders check box is selected.

The code of the series used to create sales order change requests.

Description

The description or name of code.

Process Change Requests Automatically

If this check box is selected, the approved sales order change requests are processed automatically.

Use Customer Item Code in Contract Search for Schedules

If this check box is selected, LN considers the Customer Item Code to identify a contract for a sales schedule.

Note: 
  • This field is displayed only if the Use Customer Item Code in Contract Search for Schedules check box is selected in the Sales Schedule Parameters (tdsls0100s500) session.
  • This field is enabled only if the Use Contracts for Schedules check box is selected.
  • You can clear this check box only if duplicate contract lines are not created.
Schedule Series

The series that is assigned to the sales office for sales schedules.

Note: You must first define the series in the First Free Numbers (tcmcs0150m000) session.

End User Statement Check

The predefined hold reason for sales offices that are blocked because the order line fails the statement check for end user.

Embargo Check

The predefined hold reason for sales office that are blocked because the order line fails the compliance check for embargo.

Note: 

This field is enabled only if the:

  • Trade Management check box is selected in the Implemented Software Components (tccom0100s000) session.
  • Export check box is selected in the Trade Management Parameters (tcgtc0100m000) session.
Boycott Check

The predefined hold reason for sales office that are blocked because the order line fails the compliance check for boycott.

Note: 

This field is enabled only if the:

  • Trade Management check box is selected in the Implemented Software Components (tccom0100s000) session.
  • Boycotts check box is selected in the Trade Management Parameters (tcgtc0100m000) session.
Country of Origin Check
The default hold reason for purchase order lines that are blocked when the order line fails the compliance check for country of origin.
Note: 
  • This field is enabled only if the Order Blocking check box is selected.
  • You can select a hold reason for which the Category is set to Country of Origin Check in the Hold Reasons (tcmcs2110m000) session.
Use only Header Special Contract

If this check box is selected, only one special contract can be linked to a Sales Order when a special Contract is linked to the Sales Order Header. Sales order lines can only be linked to contract lines of the special contract of the sales order header.

Note: To enable this functionality, a custom parameter must be defined for SLS in Custom Parameters (tcmcs0195m000) session.
Log Financial Economic Transactions

When you save a sales order, this field indicates how financial transactions are created. Possible value:

Allowed values

No
No financial transactions are created.
Order Price
Financial transactions are created based on the order price for the order lines. No financial transactions are created on component line level.
Standard Cost
Financial transactions are created based on the standard costs of the order component lines, if available, or for the order lines.
Margin Control
If this check box is selected, the margin control functionality is enabled.
Target Price for Margin Control

Use this field to determine which price is used as a target price in margin control. This field is not apply to gross margin control. For gross margin control, the target price always is the standard cost of an item, as recorded in the Item - Costing (ticpr0107m000) session, or if an effectivity unit is involved, as recorded in the Effectivity Unit (tcuef0102m000) session.

Note: 
  •  You can define this field only when the Margin Control check box is selected.
  •  If the item is an effectivity unit, upgrade prices are included in the sales price, the suggested retail price, and the selling price. You can view the upgrade prices for a specific effectivity unit in the Effectivity Unit (tcuef0102m000) session.

Sales Price of Item

The base price for (price) margin control is based on the sales price for the item, as defined in the Items - Sales (tdisa0501m000) session.

Rec. Retail Price of Item

The base price for (price) margin control is based on the recommended retail price for the item, as defined in the Items - Sales (tdisa0501m000) session.

Acc. to Price Structure

The base price for (price) margin control is based on the selling price found after a search in the Pricing module.

Standard Cost by Item

The base price for (price) margin control is based on the standard cost, as defined in the Item - Costing (ticpr0107m000) session. If this option is chosen, (price) margins work in the same way as gross margins.

Gross Margin Check Headers
If this check box is selected, LN performs gross margin checking on the sales order header.This field is enabled only if:
  •  The Margin Control check box is selected.
  •  The Gross Margin Control check box in the Sales Order Types (tdsls0594m000) session is selected.
The margin base (target price) is the standard cost of the item, expressed in the reference currency.
Note: For gross margin control on header level, the allowed deviation from the target price by upper and lower margins can be defined in the Sold-to Business Partner (tccom4110s000) session.
Pre-Defined Hold Reason - Gross Margin Check
The predefined hold reason for sales orders that are blocked because the sales order fails the gross margin check on the sales order header or the sales order line.
Gross Margin Check Lines
If this check box is selected, LN performs gross margin checking on the sales order line or quotation line.This field is enabled only if:
  •  The Margin Control check box is selected.
  •  The Gross Margin Control check box in the Sales Order Types (tdsls0594m000) session is selected.
The margin base (target price) is the standard cost of the item, expressed in the reference currency.
Note: For gross margin control on line level, the allowed deviation from the target price by upper and lower margins can be defined in the Items - Sales (tdisa0501m000) session.

The predefined hold reason for sales orders that are blocked because a sales order line fails a margin control check.
Print Tax on External Sales Documents
If this check box is selected, tax information is printed on sales order acknowledgement documents.

The code of the user that last modified the parameter settings.
Effective Date
The date and time the parameters are valid. The parameters are valid up to the effective date of a more recent parameter setting.
Quotation
Use Global Sales Quotation Parameters
If this check box is selected, the parameter settings specified in the Sales Quotation Parameters (tdsls0500m100) session are used. If this check box is cleared, you can set the sales quotation parameters specific to the site.
Series
The code of the series used to create sales order change requests.
Series for Sales Quotations
Step Size for Lines
The step size for the position numbers of sales quotation lines.
Effectivity Period
The validity of a quotation in days is calculated from the quotation date, and determines the default expiry date of a quotation.

Approval Required
If this check box is selected, sales quotations must be approved in the sales quotation procedure.Consequently, you must approve sales quotations:
  •  After creation
  •  After modification
  •  Before printing
If this check box is cleared, the approval process and related functionality is not applicable for sales quotations.
Note: To use document authorization workflow approval for sales quotations, this check box must be selected.
Extended Service Integration
If this check box is selected, an extended integration with Service for after-sales services is available for sales quotations.
Note: The extended integration is applicable for a sales quotation, if the Extended Service Integration check box is selected in the Sales Quotation (tdsls1600m000) session.

The number of extra quotation copies printed in the Print Sales Quotations (tdsls1401m000) session.
Print Method for Discount
You can include the goods amount and the discount on the last line of the quotation.

Use Customer Requested Delivery Date
If this check box is selected, application uses the delivery date requested by the customer for the sales orders.
Note: This check box is displayed only if the Extended Inventory Check is selected in the Sales Quotation Parameters (tdsls0100s100) session.
Check on Actual Sales Quotations
If this check box is selected, and sales quotations for the item and the sold-to business partner exist, LN displays a warning during order input.

The setting of this field could affect system performance and database growth. For more information, refer to Disable unused concepts and Sales order checks.

Convert Purchase Advice automatically to Purchase Order

If this check box is selected, LN automatically converts purchase order advices to purchase orders.

If this check box is cleared, you must manually confirm and transfer purchase order advices to purchase orders in the Confirm Purchase Order Advice (whina3211m000) session and the Transfer Purchase Order Advice (whina3212m000) session.

Note: Purchase order advices are generated in the Generate Purchase Order Advice for Generate Purchase Order Advice for Sales Order (tdsls4240m000) session.
Reopen Closed Sales Orders Allowed

If this check box is selected, you can reopen sales orders with the Closed status and update these orders.

When you reopen a Closed sales order, status changes to Modified. As a result, you can add new order lines and/or you can change the sales order header.

Note: If this check box is selected, the Reopen Closed Sales Order is available on the appropriate menu of the Sales Order (tdsls4100m900) session.
Search Date for Terms and Conditions
When a sales order or sales schedule is entered, this date is used to search for valid terms and conditions that can be defaulted to the order or schedule.

Order Line Price for Returns

This parameter is used to determine the process to invoice kits that are returned.

If this check box is selected, returned kits are invoiced with an invoice quantity equal to the ordered quantity. The default price is the sales order line price.

If the ordered components do not match the received components, the Change Prices and Discounts of Sales Invoice Lines (tdsls4132m000) session is activated (if part of the order procedure) by the application. Consequently, automatic invoicing of the line is prevented and you can change the invoice amount for the main item.

The actual cost of goods sold (COGS) of the invoice line includes the aggregated actual COGS of the received components.

If this check box is cleared, returned kits are invoiced (credited) with the invoice quantity and price set to zero, and an invoice amount that includes the aggregated cost of goods sold of the received components.

The invoice amount is defaulted in the Change Prices and Discounts of Sales Invoice Lines (tdsls4132m000) session in which you can confirm or change the amount.

Zero Surplus Invoice

This parameter is used to determine the process to invoice surplus quantity.

If this check box is selected, a surplus invoice line is created with the quantity, price, and amount set to zero. This invoice line is not sent to the customer.

The actual cost of goods sold (COGS) of the invoice line includes the aggregated actual COGS of the delivered components. The invoice is not printed (sent), but released to Invoicing to post the COGS of the invoice line. A specific invoice scenario and transaction type are used for this purpose.

Note: If you specify an invoice amount other than zero in the Change Prices and Discounts of Sales Invoice Lines (tdsls4132m000) session before releasing the line to Invoicing , the line is handled as a normal invoice line.

If this check box is cleared, a surplus invoice line is created with the quantity and price set to zero, and an invoice amount that includes the aggregated cost of goods sold of the components. The invoice line is sent to the customer.

The invoice amount is defaulted in the Change Prices and Discounts of Sales Invoice Lines (tdsls4132m000) session in which you can confirm or change the amount.

Base Price for Gross Profit Calculation
Specify how the profit percentage is calculated.

After changing an order line field that affects the price and discounts, the price and discounts are always automatically recalculated for the line. The Price and Discount Recalculation Parameters (tdpcg0240s000) session is displayed in which you can specify your recalculation options for the entire order.

Automatic

After completion of an order or an order line, prices and discounts are recalculated automatically.

After changing an order line field that affects the price and discounts, the price and discounts are not only calculated for the line, but also for the entire order. During recalculation, cumulative prices and discounts can be applied to the order lines.

Release Additional Cost Lines automatically to Invoicing upon
Specify the process in which additional cost lines are released.

If this check box is selected, sales shipment cost orders are automatically approved.

If this check box is cleared, sales shipment cost orders must be manually approved.

Credit Rating
Pre-Defined Credit Rating Code
The predefined credit rating if the invoice-to business partner has overdue invoices.
Note: You can define and modify credit ratings in the Credit Ratings (tcmcs0164s000) session. You can link credit ratings to an invoice-to business partner in the Invoice-to Business Partner (tccom4112s000) session.
Change Customer's Credit Rating
If the invoice-to business partner has overdue invoices, you can indicate whether credit ratings must be changed into a predefined credit rating, as defined in the Pre-Defined Credit Rating Code field.

Automatic

LN changes the credit rating automatically and uses the predefined credit rating as defined in Pre-Defined Credit Rating Code field of the Sales Order Parameters (tdsls0100s400) session.

Interactive

LN prompts the user to decide whether the credit rating must be changed or not. If the user indicates that the credit rating must be changed, LN uses the predefined credit rating as defined in the Pre-Defined Credit Rating Code field of the Sales Order Parameters (tdsls0100s400) session.

No

LN does not change the credit rating.

Goods Acceptance Date Mandatory for Guarantee Installments

If this check box is selected, before guarantee installments can be released to Invoicing. The Goods Acceptance Date field must be specified in the Sales Order Parameters (tdsls0100s400) session. If this date is specified, a user is given the green light to send the guarantee invoice.

If this check box is cleared, the Goods Acceptance Date field can be left empty on the sales order header and is used for information purposes only.

Include Additional Costs in Installments
If this check box is selected, installments can include additional costs.
Header Based Installments
Method of Releasing Installment Lines
Indicates how installment lines are released to Invoicing .

Installment lines are released automatically. The Print Sales Order Installments (tdsls4410m000) session prints all the lines on the invoice of which the planned release date has a value before or on the current date.

Each line must be released manually.

Apply Tax to Installments
If this check box is selected, tax is charged on installments. The tax amount charged on installments is deducted from the tax charged on the goods during invoicing.
Use Advance Payment as
The advance installment type that is used for sales order installments.

Item for Advance Payment Installments
The fictitious item to which all indirect and not closed installments are posted of the Advance Invoice Installment Type. This item must be a cost item, which you can define in the Items - Sales (tdisa0501m000) session.

A fictitious item is required for two reasons:

  • The sales history and sales statistics are entirely item-based. As a result, invoice installments must be linked to an item code in order to be included in the sales history and sales statistics. This enables sales statistics to give insight in the invoiced installment turnover.
  • If the interface between Sales and Invoicing is implemented, the invoiced installment turnover is be posted to the latter. This interface, too, is item-based.
Note: Advance payment installments must be invoiced and paid for by the business partner before goods can be delivered.
Item for Normal Installments
The fictitious item to which all indirect and not closed installments are posted of the Normal Installment Type. This item must be a cost item, which you can define in the Items - Sales (tdisa0501m000)session.

A fictitious item is required for two reasons:

  • The sales history and sales statistics are entirely item-based. As a result, invoice installments must be linked to an item code in order to be included in the sales history and sales statistics. This enables sales statistics to give insight in the invoiced installment turnover.
  • If the interface between Sales and Invoicing is implemented, the invoiced installment turnover is be posted to the latter. This interface, too, is item-based.
Note: Normal installments are invoiced before or at the delivery of goods.
Item for Guarantee Installments
The fictitious item to which all indirect and not closed installments are posted of the Guarantee Installment Type. This item must be a cost item, which you can define in the Items - Sales (tdisa0501m000) session.

A fictitious item is required for two reasons:

  • The sales history and sales statistics are entirely item-based. As a result, invoice installments must be linked to an item code in order to be included in the sales history and sales statistics. This enables sales statistics to give insight in the invoiced installment turnover.

If this check box is selected, and several contract lines are effective and active, you can select the contract line with the appropriate price and discounts.

If this check box is selected, the following are applicable:

  • If several contract lines are valid for a sales order line, the Selected Sales Contract Lines (tdsls3512s000) session is displayed. This session lists all valid special contracts and the normal contract with the highest priority.
    • You can cancel the contract linking. Consequently, the contract is not linked and the Contract Ignored check box is selected for the sales order line.
    • If a contract is specified in the Contract field of the sales order header, this contract is marked as the preferred contract in the Selected Sales Contract Lines (tdsls3512s000) session.
  • If only one normal or one special contract is effective and active, by default LN links this contract.

If this check box is cleared, and if an effective and active contract is available for the sales order line, by default this contract is linked. The Selected Sales Contract Lines (tdsls3512s000) session is not started. If multiple contracts are applicable, LN links the contract with the highest priority.

A contract is linked using this priority order:

  1. Special contract from the order header
  2. Special contract
  3. Normal contract
  • If a contract is specified on the order header, but this contract is not valid for the order line, the message stating the order header contract is not valid, is not displayed.
  • When you click Link Contract on the appropriate menu of the Sales Order Lines (tdsls4101m000) session, the Selected Sales Contract Lines (tdsls3512s000) is always started if several contract lines are valid.
Note: This parameter is only applicable:
  • When you can manually link contract lines to sales order lines.
  • For sales orders and not sales schedules.
Link Special Contract Automatically

If this check box is selected, and several special contract lines are effective and active, by default the sales order is linked to the special contract line with the highest priority. If only one normal or one special contract is effective and active, LN links this contract.

If this check box is cleared, and several special contract lines are effective and active, a contract line is not linked. Click Link Contract on the appropriate menu of the Sales Order Lines (tdsls4101m000) session, to manually link a contract line to the sales order. If a special contract line does not exist, and only a normal contract line is valid, by default the normal contract line is linked to the sales order line.

Note: 
  • This parameter is only applicable when contract lines cannot be manually linked to sales order lines, for example, when copying or generating sales orders.
  • This check box is only applicable for sales orders and not sales schedules.
Action on Exceeding Maximum Quantity
Specify the action to take when the maximum contract quantity is exceeded. You can define the maximum contract quantity in the Sales Contract Lines (tdsls3501m000) session.
Note: 
  • If the Use Contracts for Schedules check box is selected in the Sales Schedule Parameters (tdsls0100s500) session, when linking a contract line to a sales schedule, LN checks whether the called quantity on the contract line does not exceed the maximum contract quantity.
  • If the Use Contracts for Schedules check box is cleared in the Sales Schedule Parameters (tdsls0100s500) session, when linking a contract line to a sales schedule line, LN checks whether the ordered quantity of schedule line exceeds the maximum quantity on the contract line or not.
  • When linking a contract line to a sales order line, LN checks whether the called quantity on the contract line does not exceed the maximum contract quantity.

The contract line is not linked to the sales order line or sales schedule. On the contract line, you can define tolerances by which the expiry date or maximum quantity can be exceeded before the contract is skipped.

When the sales order line is created, LN asks you whether you want to link the contract line to the sales order line. For sales schedules, this option is not applicable and functions as the Skip Contract option without using tolerances.

Action on Exceeding Expiry Date

Specify the action to take when expiry date is exceeded of contract line. You can define the expiry date of contract line in the Sales Contract Lines (tdsls3501m000) session.

Note: 
  • If the Use Contracts for Schedules check box is selected in the Sales Schedule Parameters (tdsls0100s500) session, when linking a contract line to a sales schedule, LN checks whether the generation date of the schedule header does not exceed the expiry date of the contract line.
  • If the Use Contracts for Schedules check box is cleared in the Sales Schedule Parameters (tdsls0100s500) session, when linking a contract line to a sales schedule line, LN checks whether the start date of schedule line exceeds the expiry date of the contract line or not.

Print Contract Acknowledgement

If this check box is selected, the Contract Acknowledgement field of the Sales Contracts (tdsls3500m000) session has Print as the default value.

If this check box is cleared, the Contract Acknowledgement field in the Sales Contracts (tdsls3500m000) session has Do Not Print as the default value.

Note: You do not need to print a contract acknowledgment in the sales contract procedure.
Reprint Contract Acknowl. after Modification

If this check box is selected, and you modify the contract after the final contract acknowledgement is printed in the Print Sales Contract Acknowledgements (tdsls3405m000) session, LN automatically sets the Print Status field in the Sales Contracts (tdsls3500m000) session to Changed. Consequently:

  • Logistic agreements, which are required for schedules, are retrieved from the Sales Contract Line Logistic Data (tdsls3102m000) session.
  • Contracts are linked at sales schedule header level.
  • Prices and discounts, which are always retrieved from the contract, are stored at schedule line level. You can only update prices and discounts on the contract and not on the schedule line.
  • The Redetermine Price and Discounts at Shipment check box is enabled in the Sales Contract Lines (tdsls3501m000) session.
  • For approved sales schedules, planned warehouse orders are automatically generated or updated.

If this check box is cleared, it is not mandatory for a sales schedule to have a linked contract.

Consequently:

  • Logistic agreements for schedules are retrieved from the Items - Sales Business Partner (tdisa0510m000) session.
  • If contracts are linked to schedules, they are linked at sales schedule line level. These linked contracts are only used to retrieve prices and discounts.
  • Prices and discounts can be manually changed at schedule line level. If the schedule has a linked contract, it is unlinked.
Use Terms and Conditions for Schedules
If this check box is selected, a sales schedule must have a linked terms and conditions agreement. If no (active) terms and conditions agreement is found for the sales schedule, the schedule cannot be created.
Note: This field is enabled only if the Use Contracts for Schedules check box is selected..

Use Customer Order for Schedules

If this check box is selected, customer order numbers of incoming sales releases are compared with customer order numbers of sales contract lines and sales schedules.

If this check box is selected, the following are applicable:

  • You must define the process to manage deviating customer order numbers. Therefore, in the Sales Contract Lines (tdsls3501m000) session, specify the required information for the following fields:
    • Action on Deviating Customer Order
    • Action on Deviating Empty Customer Order
  • If the Action on Deviating Customer Order field is set to Block in the Sales Contract Lines (tdsls3501m000) session, each sales schedule has a unique Customer Order. Therefore, sales schedule revisions are sent and cumulatives are registered for the same customer order number.
  • If the Action on Deviating Customer Order field is set to Continue with Sales Release or Continue with Sales Contract, the revisions for a specific sales schedule can have different customer order numbers. Consequently, the cumulatives are not registered by customer order number, but by schedule.

Use Customer Contract Reference for Schedules

If this check box is selected, the customer contract reference is used to identify a sales contract line and sales schedule.

Consequently:

  • The Customer Contract Reference field is available in various sales release, sales contract, and sales schedule-sessions.
  • Each customer contract reference requires a contract line, schedule, and CUMs. Consequently, sales schedule revisions are sent and cumulatives are registered for the same customer contract reference.

Regardless of this parameter setting, the customer contract reference must be identical for the sales release, sales contract line, and sales schedule. This can also mean a blank customer contract reference for all documents.

Note: 
  • This field is enabled only if the Use Contracts for Schedules check box is selected.
  • To use customer contract references for information purposes only, specify the reference in an additional information field on the sales release line and not in the Customer Contract Reference field. Consequently, LN searches for sales contract lines and sales schedules with a blank customer contract reference. The reference is not used to identify a sales contract line and sales schedule.
