Folders (dmfmg0522m000)

Use this session to list and maintain the folders in Data Management.

You can also use this session to copy an existing folder to a new folder. If you create a folder, the status of the folder is Design/Created. You can modify a folder and link objects to the folders if the folder status is Design/Created.

A folder can be a shared folder or a personal folder. Select the Personal check box to indicate that the folder is a personal folder. For the folders for which the Personal check box is selected, only the creator or owner of the folder can modify or link objects to the folder.

To maintain folders, you must use the commands on the appropriate menu. You can perform the following operations on folders:

  • Send the contents of the folder by e-mail
  • Query Filter
  • Undo Query Filter
  • Approve Folder
  • Revise Folder (Creates new version of the folder)
  • Manage Folder Contents
  • Lock a folder
  • Unlock a folder
  • Browse the folder contents
  • View history
  • Launch file(s)
  • Select Secondary Status

The Lock Folder command enables you to lock a folder to ensure that the folder is not changed. If a folder is locked, the folder's properties and contents cannot be modified.

You can change the properties of a folder with status Design/Created and if the folder is not set as a personal folder by some other user.

Note

To view folder information, you must select the following commands on the appropriate menu:

  • View History: To view details of the folder's history in the Object History (dmcom1500m000) session, such as when the folder was locked.
  • Browse: To open an object explorer session for the folder. This session displays the folder properties, and provides access to details of the folder contents.
Folder

The folder ID, which acts as an identifier. The identifier is generated based on masks. If masks are not defined, you can enter the folder identifier manually.

Version

The version of the folder.

Description

The description of the folder, as part of the folder details.

Status

The status of the folder. The folder can have the following status:

  • Design/Created: Folder is created, revised or unlocked.
  • Locked: Folder is locked.
  • Approved: Folder is approved.
Secondary Status

The user-defined status of the folder. Secondary status is a customized status, based on the requirements of an individual company.

E-mail

Sends an e-mail message with an attachment of folder contents.
