Documents (dmdoc1510m000)

Use this session to maintain documents details. Information is stored in files or hard copies which are attached and accessed through the document. A document is purely a logical entity if no file or hard copy is attached to the document and if the document is used to group other documents.

Most document functions pertain to document revision. For a new document, the status is set to First Revision.

Document

The document identification code.

Note: If object masks are configured, the document identification code is automatically generated. If no object masks are configured, the user can manually enter the document identification code.
Type

The document type. Select the appropriate document type from the Document Types (dmdoc2510m000) session.

Note: 

Various document types can have the same document identifier.

Note: Document ID's are generated, if already defined in the Object Masks Session (dmcom0522m000) session, based on the document type.
Description

The description or name of the code.

Title

The title of the document.

Responsible Role

Role represents the owners of the document. The roles are classified into many categories such as designer, engineer, administrator, programmer, global, and so on. The role determines what action the user can perform on the document. Select the appropriate role from the Roles (tcppl0160m000) session.

Originator

The origin/source of the document is displayed here. Example, the origin can be internal, external, employee name, and so on.

The document search criteria.

The document search criteria.

Type

The type of document.

Description

The description or name of the code.

Document

The document ID. This value is generated either by the mask or can be entered manually.

Library

The ID of the library in which the document is stored. Select the appropriate library from the Libraries (dmsys0540m000) session.

Quick Approval Process

If this check box is selected, the quick approval process is enabled.

Note: Select the Quick Approval Process check box to assign the document as a light document, in other words, a document that does not have to be submitted and approved before being released. In the quick approval process, the document can be released directly from the In-Design status.
Responsible Role

Originator

Committee

The ID of the committee associated with the document. The field is available only for the standard document revision lifecycle. If the Quick Approval check box is selected, the committee is unavailable.

Description

The description or name of the code.

Fixed Reviewers Sequence

If this check box is selected, the Fixed Reviewers Sequence is enabled.

Currently under Exclusive Revise

If this check box is selected, only the creator can revise the document. This information is maintained in common ODM parameters (dmsys0100m000) session.

Note: If this check box is selected, a document can be revised multiple times. If this check box is cleared, a document can be revised only once.
Description

The description or name of the code.

Document Revisions

The number of revision of the current document.

"In Design"

The number of revisions in In-Design status.

"Submitted"

The number of revisions in Submitted status.

"Approved"

The number of revisions in Approved status.

"Released"

The number of revisions in Released status.

"Rejected"

The number of revisions in Rejected status.

"Withdrawn"

The number of revisions in Withdrawn status.

Expired

The number of revisions in Expired status.

Reviewer

The ID of the reviewer associated with the document revision. The field is visible if the user starts the session from the Specific menu (Document -> By Reviewer) in the Reviewers by Change Committee (dmcom0126m000) session.

Committee

The description of the committee associated with the document revision.

Fixed Reviewers Sequence

If this check box is selected, the Fixed Reviewers Sequence is enabled. If the Fixed Reviewers check box is selected, the recommendations by the committee members must be run in the sequence defined in the Reviewers List (dmdoc2530m000) session.

Currently under Exclusive Revise

If this check box is selected, this document does not undergo parallel development. By default, selecting/clearing this field is maintained in Common ODM Parameters (dmsys0100m000) session.

Note: Parallel development enables multiple revisions to be derived from the released document revision.
Exclusive Revised By

The name of the user currently working on the revised document.

Document Revision

The document revision identifier.

Note: Masks are defined for revision by document type.
Status

The status of the document revision.

A document revision can have the following status:

  • In Design
  • Submitted
  • Approved
  • Released
  • Rejected
  • Withdrawn
  • Expired
Created By

The name of the user who created the document.

Creation Date

The date and time when the document was created.
