Accounts Payable 360 (tfacp2560m000)

Use this session to perform accounts-payable related tasks and to retrieve accounts payable information. You can view and maintain various types of accounts payable information, such as purchase invoice information, invoice-from and pay-to business partner information, and payment-related information.

How to use the Accounts Payable 360 (tfacp2560m000) session

Select an invoice-from business partner in the list. The business partner balances and credit information are displayed in the boxes at the top of the session.

To view the business partner details, double-click the invoice-from business partner line in the list.

The check marks under Documents and Payments indicate which data is available for the selected invoice-from business partner. If you click a link, a session starts which you can use to view, maintain, or create the corresponding transactions for the selected business partner.

You can click the following links, or click the corresponding commands on the appropriate menu:

  • Received Invoices

    Starts the Received Purchase Invoices (tfacp1500m000) session. LN records invoices in this session as soon as the invoices are received, without creating any transactions. You can copy these invoices to the invoice register to make them available for processing.
  • Authorize Received Invoices

    Starts the Confirm Received Purchase Invoices (tfacp1104m000) session. The Accounts Payable module can be set up in such a way that after invoices are received, they must be confirmed by specific authorized users or departments before they can be processed further. You can use this session to confirm the invoices.
  • Aging Analysis

    Starts the Payables Aging Analysis (tfacp2620m000) session. You can use this session to view or print the invoice-from business partner's aging analysis for the total outstanding balance.
  • Process Purchase Invoices

    Starts the Process Purchase Invoices (tfacp2107m000) session. You can use this session to match the invoice lines with purchase orders or purchase receipts and to approve the invoices.
  • Open Entries

    Starts the Invoice-from Business Partner Open Entries (tfacp2520m000) session. You can use this session to view a complete list of the open purchase invoices that exist for the selected business partner.
  • Factor Relations

    Starts the Pay-to Business Partners by Factor (tfacp1106m000) session. If the pay-to business partner factors the invoices and you have not defined a default factor for the pay-to business partner, you can use this session to assign a factor to the pay-to business partner.
  • Authorize Purchase Invoices

    Starts the Authorize Purchase Invoices (tfacp1142m000) session, which you can use to perform the following actions:

    • Approve price differences that exceed the defined tolerances
    • Create additional costs transactions
    • Approve invoices for payment
  • Business Partner Balances

    Starts the Business Partner Balances (tfacp2582m000) session. You can use this session to view the various business partner's balances and aging analysis, and the business partner's current credit situation.
  • Procurement Card Statements

    Starts the Procurement Card Statements (tfacp1520m000) session. If the purchase was paid by using a procurement card, you can use this session to view and maintain the procurement card statement details.
  • Payment Schedules

    Starts the Payment Schedule (tfacp1103m000) session. If a payment schedule is linked to the invoice, you can view the generated payment schedule lines in the Payment Schedule (tfacp1103m000) session.
  • Invoice Information on Purchase Orders

    Starts the Invoice Information on Purchase Orders (tfacp2540m000) session, which displays the purchase orders of the selected business partner.
  • Invoice Information on Purchase Order Lines

    Starts the Invoice Information on Purchase Order Lines (tfacp2540m300) session, which displays the purchase order lines of the selected business partner.
  • Payment-related Documents

    Starts the Payment-related Documents (tfacp6500m000) session, which displays the payment-related information of the selected business partner.
  • Business Partner Payments - Order Information

    Starts the Business Partner Payments - Order Information (tfacp6502m000) session, which displays the order information of the selected business partner.
  • Invoices by Payment-related Documents

    Starts the Invoices/Documents by Payment-related Documents (tfacp6501m000) session. You can use this session to view a list of invoices and payment-related documents for the selected business partner.
Note: The Payment-related Documents and Business Partner Payments - Order Information links are only available if Store Business Partner Payment - Order Information is selected in the ACP Parameters (tfacp0100m000) session.

Field Information

Business Partner Balances
BP Currency

The business partner balance currency defined in the BP Balance Currency field of the Business Partner (tccom4100s000) session.

Open Entry Balance

The selected invoice-from business partner's open entry balance in the current financial company.

Order Balance

The selected invoice-from business partner's purchase order balance in the current financial company.

Total Balance

The sum of the Order Balance and the Open Entry Balance for the selected invoice-from business partner.

Credit Information
Total Balance - All Companies

The sum of the Order Balance and the Open Entry Balance of the selected invoice-from business partner in all the financial companies of a multicompany structure.

Credit Limit

The selected invoice-from business partner's credit limit in the current financial company.

Credit Available

The credit that you can still use with the selected invoice-from business partner, that is the Credit Limit amount minus the Total Balance amount.

Documents
Received Invoices

If this check box is selected, received invoices from the selected invoice-from business partner exist. To view the received invoices, click Received Invoices.

Authorize Invoices

If this check box is selected, invoices from the selected invoice-from business partner exist that must be confirmed by specific authorized users or departments before they can be processed further. To confirm the invoices, click Authorize Received Invoices.

Aging Analysis

If this check box is selected, invoices from the selected invoice-from business partner exist for which aging information is available. To view or print the aging analysis summary, click Aging Analysis.

Debit Notes

If this check box is selected, existing debit notes from the selected invoice-from business partner can be viewed and printed. To view or print the debit notes, click Debit Notes.

Match/Approve Invoices

If this check box is selected, invoices from the selected invoice-from business partner exist that can be matched and/or approved. To match and approve the invoices, click Process Purchase Invoices.

Open Entries

If this check box is selected, open entries exist for the selected invoice-from business partner. To view and maintain the open entries, click Open Entries.

Factor Relations

If this check box is selected, the selected invoice-from business partner is linked to a factor. To select a different factor for the business partner, click Factor Relations.

Authorize Purchase Invoices

If this check box is selected, price differences exist for the selected invoice-from business partner that must be approved. To view and approve the price differences, click Authorize Purchase Invoices.

Business Partner Balances

If this check box is selected, balance information exists for the selected invoice-from business partner. To view the various business partner's balances and aging analysis, and the business partner's current credit situation, click Business Partner Balances.

Procurement Card Statements

If this check box is selected, invoices from the selected invoice-from business partner were paid by using a procurement card. To view and maintain the procurement card statement details, click Procurement Card Statements.

Payment Schedules

If this check box is selected, payment schedules exist for the selected invoice-from business partner. To view and maintain the payment schedules, click Payment Schedules.

Invoice Information on Purchase Orders

If this check box is selected, purchase orders exist for the selected invoice-from business partner. To view the purchase orders, click Invoice Information on Purchase Orders.

Invoice Information on Purchase Order Lines

If this check box is selected, purchase order lines exist for the selected invoice-from business partner. To view the purchase order lines, click Invoice Information on Purchase Order Lines.

Payments
Business Partner Payments - Order Information

If this check box is selected, payment - order information exists for the selected invoice-from business partner. To view the payment - order information, click Business Partner Payments - Order Information.

Note: The Payment-related Documents and Business Partner Payments - Order Information links are only available if Store Business Partner Payment - Order Information is selected in the ACP Parameters (tfacp0100m000) session.
