Business Partner (tccom4100s000)

Use this session to view, enter, and maintain business partners.

You can start this session:

  • From the Business Partners (tccom4500m000) overview session, by double-clicking a record, or by entering a new business partner.
  • From the Business Partner Roles by Contact (tccom4546m000) session, by double-clicking a record.
  • Stand-alone.

Business Partner

A party with whom you carry out business transactions, for example, a customer or a supplier. You can also define departments within your organization that act as customers or suppliers to your own department as business partners.

The business partner definition includes:

  • The organization's name and main address.
  • The language and currency used.
  • Taxation and legal identification data.

You address the business partner in the person of the business partner's contact. The business partner's status determines if you can carry out transactions. The transactions type (sales orders, invoices, payments, shipments) is defined by the business partner's role.

If you create a new business partner and the Business Partners check box is selected in the COM Parameters (tccom0000s000) session, you must select a series from the number group for business partners. LN then generates the business-partner code from the series code and the first free number in the series that you selected.

If the Business Partners check box is cleared, you can enter a code for a new business partner.

If the business partner is an affiliated company, you can use the company number for the business partner code.

B. Partner Status

The status assigned to the business partner, which determines the actions that can be carried out for the business partner.

For example, you cannot specify a sales order for a business partner with status Prospect, or ship goods to a business partner with status Inactive.

If there are outstanding sales orders or open invoices for the business partner, you cannot change the status from Active to Prospect.

When you define a business partner role for this business partner, LN changes the Prospect status to Active.

When you verify the business partner's details or status, clear the check box.

General
General
Name

The business partner's name.

Note

Do not include a period after the surname. LN forms the default search key from the first sixteen characters that follow the last period in the Name field.

Example

M.Y. Dixon and Son becomes DIXON AND SON

J. Smiths ltd. results in a empty search key.

Address

The business partner's default address.

Address Line 1

The first part of the address, as defaulted from the Address Line 1 field in the Addresses (tccom4130s000) session.

Address Line 2

The second part of the address, as defaulted from the Address Line 2 field in the Addresses (tccom4130s000) session.

Address Line 3

The third part of the address, as defaulted from the Address Line 3 field in the Addresses (tccom4130s000) session.

Address Line 4

The fourth part of the address, as defaulted from the Address Line 4 field in the Addresses (tccom4130s000) session.

Address Line 5

The fifth part of the address, as defaulted from the Address Line 5 field in the Addresses (tccom4130s000) session.

Address Line 6

The sixth part of the address, as defaulted from the Address Line 6 field in the Addresses (tccom4130s000) session.

Business Phone

The phone number at the business address.

Note

If a full business phone number is specified, based on the field values in the Phone Number Data group box of the Countries (tcmcs0110s000) session, the full number is automatically split in the Business Phone Number Details (tccom4100s200) session. Click the Details button to start this session.

This option is enabled only if the user's Authorization Level is set to Modify in the Authorized Business Partners (tcsec2530m000) session.

Primary Contact

The primary contact for this business partner.

Note

If this field is filled, the business partner is also linked to the contact in the Business Partner Roles by Contact (tccom4546m000) session.

Full Name

The contact's full name.

Website

The business partner company's general Web site.

Picture

The business partner's picture.

  • You can add a picture by a drag-and-drop operation.
  • The picture can have the following extensions: .jpg, .gif, or .png.
Text

Use this field to enter a text related to the business partner.

Roles
Sold-to

If this check box is selected, you have defined the corresponding business partner role for the business partner.

Note

These options are enabled, only if the user's Authorization Level is set to Modify in the Authorized Business Partners (tcsec2530m000) session or if the roles are yet to be created.

You can only create business partner roles if your Authorization Level is set to Modify in the Authorized Business Partners (tcsec2530m000) session.

Search Key

The search key for the business partner.

Default value

The first 16 characters of the business partner's Name field. Periods and characters preceding them are not included in the search key.

Title

The title used on documents addressed to the business partner.

Language

The language used for documents addressed to the business partner. If no document is available in this language, the document in the company language is used.

Currency

The currency used for the initial transactions with the business partner.

On invoices, LN uses the default currency you specify for the invoice-to business partner and invoice-from business partner roles.

One-Time Business Partner

If the business partner is a one-time business partner, select this check box

Note

When you process the billing request and print the invoice, the invoice address of one-time business partners is entered in Invoicing.

Factor

If this check box is selected, the business partner acts as a factor. If the factor handles your invoices and collects payments from your customers, the factor must have the pay-by role. If the factor collects payments on behalf of your suppliers, the factor must have the pay-to role.

Note

Before you can select this check box, you must define the pay-by and the pay-to roles for the business partner.

If this check box is selected, the business partner is considered a collection office.

Credit Limit Check Per Department

If this check box is selected, you can define a credit limit for the invoice-to role of the business partner that applies to the current company, if the current company is of type Financial or type Both.

If this check box is cleared, you can define a credit limit for the invoice-to role of the business partner that applies to all departments and all companies of your multicompany environment.

Note

This check box does not affect the invoice-from business partner role. For invoice-from business partners, you can specify a credit limit for each department.

BP Balance Currency

The currency in which the business partner balances and credit limits are expressed.

Note

Unless the transaction currency matches the BP balances currency, LN translates amounts to the BP balance currency, using the given rate date and the Internal rate type, from either of the following:

Fax Number

The business partner's fax number at the business address.

Note

If a full fax number is specified, based on the field values in the Phone Number Data group box of the Countries (tcmcs0110s000) session, the full number is automatically split in the Fax Number Details (tccom4100s300) session. Click the Details button to start this session. This option is enabled only if the user's Authorization Level is set to Modify in the Authorized Business Partners (tcsec2530m000) session.

Status
From

The date and time when this status takes effect.

If you leave this field empty, the status takes effect immediately.

To

The expiry date and time of the business partner's status.

If you leave this field empty, the status continues.

Identification
Chamber of Commerce

The business partner's identification number at the chamber of commerce.

Commercial Identification

An information field that you can use, for example, for the business partner's identification number at a credit insurance company such as Dun & Bradstreet.

Tax Number

Displays the business partner's tax number you defined for the business partner in the country of the address, in the Tax Numbers by Business Partner (tctax4100m000) session.

Business Entity Identifier

The optional business entity identifier (BEI) for the direct debit company in the SEPA direct debit file.

Parent Business Partner
Parent Business Partner

The business partner that links the various business-partners with different roles in a distributed business partner organization.

If you define branches of one company as different business partners, the business partners must all have the same parent business partner.

Note

If the business partner belongs to a business partner hierarchy, you can click the Tree button to view the business partner's place in the hierarchy in the Business Partner Tree (tccom4700m000) session.

If you select a business partner in this field, the text linked to this business partner is printed on external documents.

For example, you can print text linked to the sold-to business partner (special delivery agreements) on the shipping order printed for the ship-to business partner.

If you leave this field empty, only text linked to the current business partner is printed on documents for the business partner.

Internal Business Partner

If the business partner is an internal business partner, select this check box.

In Invoicing you can only send invoices to and receive invoices from business partners. Therefore, if you want to invoice an enterprise unit of your own company, or if you receive invoices from an enterprise unit, you must define the enterprise unit as an internal business partner. You can link only one internal business partner to an enterprise unit.

Note
  • You can select this check box only when you create a new business partner.
  • Before you can select his check box, you must first define all the business partner roles.
  • To remove the link between the business partner and the enterprise unit, clear this check box and save the data.
Enterprise Unit

The enterprise unit for which you create the internal business partner. You can link only one business partner to an enterprise unit.

User
Created by

The user who defined the business partner.

Creation Date

The date the business partner data, business partner role data, or business partner address data was created.

Last Modified by

The user who last modified the business partner data, business partner role data, or business partner address data.

Last Modification Date

The date the business partner data, business partner role data, or business partner address data was last modified.

Multi-Site
Affiliated Company

If this check box is selected, the business partner is an affiliated company.

The affiliated company is used in:

  • The multisite master plan to distinguish the dependent demand from the independent demand when analyzing the order file in Enterprise Planning.
  • Multicompany electronic data interchange to determine the company for which an internal EDI message is meant.
  • Financials, to generate a reconciliation report for the companies for which LN generates intercompany settlements.
Note

This check box is enabled if you have defined all the business partner roles for the business partner.

Affiliated Company No.

The company number of the affiliated company represented by the business partner.

You can link a logistic company to only one business partner.

Intercompany Settlement

If this check box is selected, intercompany settlement transactions can be generated for the business partner.

Note

If the business partner is involved in intercompany settlement transactions, the invoice-from business partner must not be a subcontractor.

If you select this check box:

  • LN clears the One-Time Business Partner check box.
  • You cannot select the Self-Billing check box in the Buy-from Business Partner (tccom4120s000) session.

Social Media Type

Select the type of social media that the business partner uses.

Social Media Link

Specify the account or the tag(s) for the social media type.
