Using an archive company

Use archiving to remove historic data from your database. Archiving data reduces the number of records. You can then access and work with the current data faster and easier.

If you archive data, LN moves the data from the operational company to the archive company. LN deletes archived data from the operational company. You must change to the archive company to access the archived data.

Note

Archiving data is also called copy to history.

Archiving and retrieving data

Use the Archive sessions in the various LN packages to archive the data.

In the Operations Management packages, you can archive data such as:

  • Sales transaction
  • Purchase transactions
  • Projects
  • Production orders
  • Inventory transactions

You can only archive transactions that have the required status for archiving. For example, you can only archive projects with the Closed status. In Financials, you can only archive transactions with the Finalized status. For details, refer to Archiving finalized transactions.

You can use some of the Archive sessions to retrieve archived data and reintroduce the data into the operational company. However, in most cases you cannot restore archived data to the operational company.

Archiving the master data

The archived transactions often refer to master data in their own package and in Common. To avoid errors in the archive company because this data does not exist, the master data must also be archived.

If the Archive General Data only via session Archive General Data check box is selected in the COM Parameters (tccom5000m000) session, you must archive the general data in the Archive General Data (tccom0250m000) session. If this check box is cleared, you can select the Common check box in many Archive sessions, to archive the master data.

If the master data is not changed, you need to archive it only once. If you archive master data that was already archived earlier, LN overwrites the earlier data.

Package VRC

You can only archive and retrieve data between an operational company and an archive company of the same Package, Version, Release, Customer (VRC) combination.

After archiving data, you must use the Reorganize Tables (ttaad4225m000) session to reorganize the database tables and reduce the database size.

Authorizations

To read and print archived data, you must have read-only access to the data of the archive company. The system administrator must set up the required user authorizations by using the User Management sessions of Enterprise Server.

Accessing the archived data

To access the archived data, you must change to the archive company and run the appropriate sessions. Depending on the session, you can either see:

  • The same details that you see in the operational company
  • Summarized data

You can create an archive company in the same way you create a regular company. In addition, you must copy the operational company's master data to the archive company.
