Using hours accounting

People facilitates or supports the following:

  • Quick access to and easy registration of hours (manually)
  • Automatic registration of hours using backflushing
  • Retrieval of tasks from assignments
  • Time recording , which you can set by selecting the Direct Time Recording check box in the People Parameters (bpmdm0100m000) session
  • Global update of hours by employees or team leaders

To make sure hours are registered for the appropriate tasks, and the cost calculated for the appropriate package, you must use the appropriate transaction type.

For any transaction type, you can define tasks for which you or your team members register hours. You can also use tasks from the Assignments (bpmdm0130m000) session. As a result, you can predefine recurring assignments.

To retrieve assignments, from the appropriate menu, select Use Assignments. Depending on the Insert with Zero Hours setting, the tasks appear either with or without the preset hours. As long as the hours are not processed, you can still edit these hours. Assignments allow for efficient and effective hours registration.

Note
  • You can also use assignments for general tasks.
  • Although you cannot define assignments for a team, you can distribute the actual hours for a team task among the team members. To switch to a team view, on the View menu, point to Sort by, and click Team, Year, Period.
  • You can use working time schedules for all transaction types except for general tasks and Project hours.
To register hours:
  1. In People, double-click the Hours and Expenses folder.
  2. Double-click the Hours and Expenses session icon. The session set as the startup session in the User Profiles (bpmdm0102m000) session appears. (The user profile determines the default entity for which you register hours. Entities are, for example, a project, a production order, or a work order. )
  3. Leave the employee code empty if you want to register machine hours only. Enter the year and the period you are working in and define the task. If necessary, you can run the Use Assignments (bptmm1204m000) session.
  4. In the appropriate hours accounting session, click the New button to enter the hours directly.
  5. Enter the transaction type details and specify these fields:
    • Working Time Schedule
      Enter a working time schedule code if you want use the predefined hours of a working time schedule. If you leave the Working Time Schedule field empty, you can only enter a single date of hours registration.
    • Registration/Start Date/ End Date
      Enter a date that falls within the period.
    • Labor Time Unit
      The field is, by default, filled from the People parameters.
    • Labor Time
      If you register for an employee, enter the labor hours.
    • Machine Time
      If you register hours for a machine, enter the machine hours.
  6. Save entered hours. The actual hours appear.

    Depending on the parameter setting, the following happens:

    • Direct
      Hours are processed immediately after you close the session, or when you choose Process Now on the appropriate menu.
    • In Batches
      Hours are only processed after the Process Hours and Expenses (bptmm1203m000) session is run, either by you or by another user, depending on the Approval Required setting.
Note

To enter hours in a session other than the one set as the startup session in the User Profiles (bpmdm0102m000) session, you can easily switch to the appropriate session by either clicking the corresponding button on the toolbar, or by choosing the corresponding command on the appropriate menu.
