Exporting a list to CSV

You can export a list to a CSV file through the options menu. This export process includes a selection of tabs and menus that enable you to configure the settings for the exported file.

  1. From the options menu, select Export to CSV.
  2. On the Export to CSV dialog box, make selections on these tabs:
    • Display tab
      Format
      Select CSV or Excel. If you select CSV, commas between fields are included. If you select Excel, your output is formatted for viewing in Excel.
      Headers
      Select Field ID or Field Label.
      Retention Duration
      Select how long the exported CSV report file should be retained. You can manually select a predefined duration from the menu, or specify the number of retention days.
    • Content tab
      Record Limit
      Select the number of rows to export. You can select one of these options:
      • Default: Exports records up to 5,000 rows.
      • Larger: Exports records up to 250,000 rows.
      • Small: Exports records up to 100 rows
      • No Limit: Exports all rows. A warning message of the maximum number of records that Excel can accept through export is displayed when you select this option.
      • Specify Record Limit: Prompts you to manually specify the number of rows expected. If the number of rows is larger than the number you specify, an error message displays on-screen.
    • Sharing tab
      Report Distribution Group
      You can select a report distribution group to manage the CSV file sharing. If your site has distribution groups, you can select options for sending the CSV file to a group. The options available for sharing vary depending on the profile of the group. For example, some groups enable you to share files with actors outside the group, while other groups are restricted to group members only.

      Empty Report Options
      Use this option to manage how empty CSV files with no data rows are handled. This option is only available when no report distribution group is selected. You can manage how empty reports are saved and whether notifications are created by selecting one of these options:
      • Send With Notification (Default): Generates a CSV file and creates a notification
      • Suppress Without Notification: Skips both CSV file generation and notification creation.
      • Suppress With Notification: Skips CSV file generation but creates a notification.
    • Advanced tab: If you have access to the Advanced tab, you can configure features for exporting large data sets using multiple threads. This advanced feature is typically performed only by system administrators or developers.

  3. Complete your export by clicking one of these options:
    • Export: Generates the output file.
    • Schedule: Schedules the export generation. The page for scheduling the export is displayed when this option is selected.
