Creating a report distribution profile
A report distribution profile defines the relationship between a report option and its distribution destinations. For example, PDF files might be sent to a specific actor group. Then you associate a report distribution profile with a report distribution group.
- Access Reports > Report Distribution > Report Distribution Configuration.
- Select the Report Distribution Profiles tab.
- Click Create.
- Specify a name for the report distribution profile.
- Optionally, add a description.

Select the report options for which you are creating the profile.
Note: Report options are currently only used by standard reports built with Java, also known as static Java reports.

On the Actor Distribution
Options tab, specify this information:
- Actor Group
- Select a previously defined group containing actors. You must specify an actor group, role, role group, Process Automation service name, or email to, cc, bcc, or select the option to enable the Allow Dynamic Actor Set feature.
- Include Descendent Actor Groups
- Select to include any actor groups that are descendents of the selected actor group.
- Suppress Distribution Of Blank Report To Actor Group
- Select this option to prevent sending blank reports to the actor group.
- Allow Dynamic Actor Set
- If selected and a user selects a report distribution group linked to this profile, the user can specify an ad-hoc set of actors to distribute the report to.
- Role
- Specify a role to send reports to the actors with that role.
- Role Group
- Specify a role group to send reports to the actors with a role in that role group.
- Suppress Distribution of Blank Report to Role
- Select this option to prevent sending blank reports to actors with the specified role.
- Burst By Actor
- Generate a separate copy for each actor and apply actor-specific security to each copy. This option does not apply to static Java reports. If this check box is not selected, the report sent to each actor will have the report submitter's security applied.
- Suppress User Notification
- Select this option to prevent sending user notifications on the creation of a report. Notifications are still sent if there is a failure.
- View Actors
- Click to view the actors that are included in the actor group, including any descendent groups.
- Report Email Option
- Select how the system delivers the report through email. You can select from these options: None, Include Document, Include Document Link, Both, or Defined Message Only. If you select any option other than None, you can specify the From, Subject, and Body fields for the email. You can click the three vertical dots beside each field to use the Text Variable Replacement option, which inserts dynamic values. For the Document Link option, the system includes a link to the user’s My Print Jobs page, and the user logs in to view the report. If a report distribution group includes multiple profiles and an actor appears in more than one, the system uses the first matching profile to determine how the actor receives the report.

On the Other Distribution Options tab, specify
this information:
- Process Automation Service Name
- Specify a process automation service name that can receive the output type.
- Suppress Distribution of Blank Report to Process Automation Service
- Select this option to prevent sending blank reports to the process automation service.
- Email To
- Specify an email address where the report is delivered.
- If you type an email address, you much also specify a
corresponding message in Content. From, Cc,
Bcc, and Subject are optional.Note: You can use this option to send reports to an email-enabled printer.
- Suppress Distribution Of Blank Report To Email
- Select this option to prevent sending blank reports to the email address.
- Click Save.
