Reminders tab

You can send a reminder to users and tasks assigned to an action item.

Configuring a reminder

To remind users and tasks assigned to an action item, you can configure two reminders, which are reminder messages that are sent after a specified time.

  1. On the Reminders tab, select Reminders.
  2. On the 1st Reminder tab, specify this information:
    After
    Specify the elapsed time after which the first reminder will be sent for failure to respond to this request for action.

    From the drop-down list, select Days or Hours.

  3. Click Create the reminder message.
  4. To configure the 1st Reminder message, specify this information:
    All users that did not take an action
    Select this check box to send a reminder to all users that did not take an action.
    Additionally to

    You can send out the reminder to other tasks or users. For example, if a user does not take an action, a reminder can be sent to the user's manager notifying them that an action was not taken by the user.

    Select one of these options:

    • Task: To send a reminder to a task, select this option and select the task from the drop-down list.

    • User: To send an additional reminder to a user, select this option.

      You can click the Search button and search for a user. You can perform a search by using the First Name or the Last Name. Select Search to display the results. To send a reminder to all users displayed, select the Select All button. To send a reminder to a particular user, select the user's name.

    • None: To forgo sending reminders to additional recipients, select this option.

    Cc/Bcc
    Specify the users that will be copied in the reminder. A user that is added in the Bcc field does is not displayed as a recipient in the message.
    From

    The process first checks if the From field is populated with either a hard-coded email address or a variable.

    If the field is left blank, the process checks a "system" configuration property called "mailFrom".

    If the From field and the mailFrom property are both blank, the mail is sent from "LPS" user.

    Subject
    Specify the subject of the reminder.
    Contents

    Specify the content of the reminder.

    To load the content from a text document, click Browse.

    Allow email attachments
    Select this option to use email attachments.
    Attachment list (comma separated)

    This field is only enabled if the Allow email attachments option is selected.

    Specify attachments to include in the notification message.

    Use a comma-separated list for multiple attachments.

    Get attachments from database file storage

    This field is only enabled if the Allow email attachments option is selected.

    Select this option to attach files from database storage.

    HTML content

    Select this check box to use HTML content in the reminder.

    Allow action via email (requires HTML content)

    This option is only enabled if the HTML content option is selected

    Select this check box to allow tasks and users to take action for work items from the email.

  5. Click OK.
  6. Click the 2nd Reminder tab.
  7. Configure the 2nd Reminder message. To configure the 2nd Reminder message, follow the steps in configuring the 1st Reminder message.

    Note: The 2nd Reminder message starts from the time the User Action node began.
