Configuring the Email node

The Email tab is for specifying properties about the messages that will be sent by the node.

  1. On the Email tab, you must specify at least one recipient for the Email node. Either the To, Cc, or Bcc fields must be populated.
    Note: 

    Use Bcc if you want to "blind copy" which means that other recipients will not see the address on the recipient list.

    There are several ways to specify recipients. You can perform any of these actions:

    • Select the user from the list of users:

      Click To, Cc, or Bcc and then click the Email addresses tab. All users/addresses in your Infor Lawson LDAP are available to select. Search by first name, last name, or both. Use * (asterisk character) to specify a partial name. For example, if you are searching for the name "Garcia," you could specify Gar*.

    • Select the task from the list of available tasks:

      Click To, Cc, or Bcc and then click the Tasks tab. Select the "task" that you want to receive this message. When the process executes, the system sends a message to all users who are linked to the task.

    • Specify the email address directly in the text box.

  2. Specify other header information for the message:
    From

    Specify the entity (person, task, and so on) that is sending the message. It is a good idea to populate this field.

    Subject

    Specify the subject line of the message. It is a good idea to populate this field.

  3. Specify the content for the message. You can perform any of these actions:
    • Specifying the text directly into the message space

    • Referencing a variable name of a Msg Builder node that occurs before this email node in the process

    • Importing a text file using the Browse button. The file must have the extension .txt.

  4. On the Attachments tab, you can send an attachment by specifying the file path to the attachment. You can either use the Documents/variables list or specify a path in the Misc field.
    Documents/variables
    • Variable. If you have defined a file path in a variable in a previous node, the variable is in the Documents/variables list. Select the variable and click the right arrow to add it to the Attachments list.

    • Documents. You can attach a document that has been uploaded using Manage Documents. Select the document and click the right arrow to add it to the Attachments list.

    Misc

    You can specify a file path and click the right arrow to move it to the Attachments list.

    Ignore error when attachment file does not exist

    Select the check box to specify what should happen if an attachment does not exist.

    If you select this check box and one of the attachments does not exist in the file system, the node will log the error and continue with the next attachment.

    If you do not select this check box and one of the attachments does not exist in the file system, the node will fail.

  5. On the On Error tab, specify this information:
    What should happen on an error?

    Select from the available options.

    Notify

    Select the check box if you want to send a notification when an error occurs. If this option is selected, you must fill out the notification details.

    Custom log entry

    Select the check box if you want a custom log entry in addition to the system-generated log entry.
