Approving from a forwarded email

Scenario

  1. User approver1 receives an email with approval buttons.
  2. User approver1 forwards the email to user1.

    User1 is not the original approver.

  3. User1 clicks the approval button in the forwarded email.

Prerequisite

The inbasket user role must be assigned to user1. To assign a role, access Security Administration > User Management > Actor > Roles and specify InbasketUser_ST.

Configuration

A user with PFI Admin access must set the emailActionAllowEmailForwarding property to true.
  1. To set the property, access Process Server Administrator > Configuration > System Configuration.
  2. In Configuration Sets, select or search for system as Configuration Name.
  3. In the Properties tab, click the Create button.
  4. Specify this information:
    Property Name
    Specify emailActionAllowEmailForwarding.
    Value
    Specify true.
  5. Click Save.

Landmark proxy

User approver1 must create a proxy allowing user1.
  1. Access Proxy Definition and click the New button in Proxy List.
  2. Specify this information:
    Grantor
    Specify the approver. For example, approver1 in the sample scenario.
    Proxy Name
    Specify the proxy name. For example, User1Proxy in the sample scenario.
    From Date
    Select the start date.
    To Date
    Select the end date.
    Enabled
    Select Enabled.
  3. In the Proxy Granted to Actors tab, click the New button.
  4. Specify this information:
    Granted to
    Specify the user. For example, user1 in the sample scenario.
    Proxy
    Specify the Proxy Name. For example, User1Proxy in the sample scenario.

Approvals

User1 in the sample scenario clicks the approval button in the email forwarded by approver1. Since user1 has the inbasket role, the proxy granted by approver1 will allow user1 to take an action.

Clicking the link will display the Landmark log-in screen for user1 to authenticate.

A message will be displayed stating the action has been processed and user1 has just performed the approval that is originally sent to approver1.

Optionally, you can check the Metrics Summary which will show that the workunit was approved by user1 (the authenticated user) and that approver1 was initially assigned to perform the approval.
