Purging PDF files from the system

When users use the Print to File option, the system stores the generated PDF files to the user's My Print Files list and in the User Reports business class. Over time, the report records can build up and consume a lot of space. You can use the Delete action to delete individual records, or you can use purge actions to purge documents and free up space. Purge actions can be scheduled and will run in the background.

Note: 

Only administrator or super users have access to the Report Documents list (users have access to the ReportDocuments business class, which is granted in the DataAreaAdminAccess_ST framework security class) .

  1. In the appropriate product line, search for and open UserReport. Or open from Start > Data > la > Business Classes > UserReport.
  2. On the Reports list, click Actions > Purge My Reports, Purge Actor Reports, Purge Reports, or Purge Folder Reports.
    • Use Purge My Reports to delete PDF files generated by your user only. If you select Include Folder, folder-based reports for your user will also be deleted.

    • Use Purge Actor Reports to delete reports generated for a particular actor. Leave the Actor field blank to delete public shared reports.

    • Use Purge Reports to delete PDF files generated by all users. If you select Include Folder, folder-based reports for all users will also be deleted.

    • Use Purge Folder Reports to delete all records for a specific User Folder ID.

  3. Type or select a Thru Date or specify Purge Offset Days.

    If you use through date, the system will delete files for the date you selected and earlier.

    If you use offset days, the system will delete files older than the days you specify. For example if you enter 3, then any files older than three days will be deleted.

  4. Click OK to run the purge or click Schedule to run it in the future.
