Creating organizations

Create organizations to define a hierarchy of Requesting and Inventory Locations, and then use that hierarchy to assign watchers and responders at an appropriate level of the hierarchy.

When a Recall product transaction query is submitted, it will use this organization structure to assign the individuals you have defined as responsible for that location the tasks for that recall notice. It will also notify any individuals you have defined as monitoring those locations about the recall notice.

The Organization structure can be built automatically from the Build Organization Structure action (link), and afterwards you can "re-parent" any organizations to fit your needs.

Note: 

You can create a domain or organization unit of watchers only. For example, Risk Management is a specialty or an organization that doesn't necessarily have notice-related tasks to complete in the Recall Management system.

Note: 

You can use Actions > Create Within to add a child record to a parent - in other words, to make an organization hierarchy.

To create an organization

  1. Access Recall Administrator > Setup > Organizations.
  2. From the Actions menu, select Create. Use the following guidelines for entering field values.
    Recall Group

    Required.

    Description

    Required.

    Domain

    Optional. Select a domain to drive the list of watchers that notifications will go to. More than one organization can have the same domain.

    Company

    Optional. Select an Inventory Control (IC) company to help you build your organization structure.

    Requesting Location

    Optional. Select an requesting location to help you build your organization structure. If you select a requesting location, you must have the company in the Company field.

    Inventory Location

    Optional. Select an inventory location to help you build your organization structure. If you select a inventory location, you must have the company in the Company field.

    Active

    Select this field if the organization is active. This field is selected by default.

  3. From the Actions menu, select Save.

    The system will automatically assign a numeric recall organization ID to the organization.

  4. Attach users to the organization. You will set up one user as the responder and you can optionally attach additional users as watchers.

    Any users who are defined as responders or watchers at a particular level in the hierarchy, will also be responders or watchers for any level beneath them where no individual has yet been assigned.

  5. On the Users tab, select the Helper List icon.
  6. Select the user that is the Responder for the organization.
  7. Select the Attach User button.
  8. In the Type Of User field, select Responder and the OK button.
  9. Optional. If you want to add watchers, select one to many users from the Users list.
  10. In the Type Of User field, select Watcher and the OK button.
  11. When you are done attaching users, select the Close button on the Users list.
