Creating a recall group

Recall group defines settings and rules for recall functionality and processing. Recall groups correspond to the Purchase Order (PO) procurement groups. The recall group association with procurement group is what ties information in Recall Management with the Lawson transactions in S3 Enterprise Applications. A recall group in Recall Management and the related procurement group in Purchase Order must have the same group number. For example, if the procurement group number is GRP123, the related recall group number must also be GRP123.

To create a recall group

  1. Access Recall Administrator > Setup > Recall Groups.
  2. From the Actions menu, select Create. Use the following guidelines to enter field values.
    Recall Group

    Required. Select a procurement group.

    Description

    Required. Type a description. It does not have to be the same as the description of the procurement group.

    Require Task Acceptance

    Select this field if your organization requires that a task assigned to a recall responder be accepted by the responder. If you leave this field blank, tasks are automatically ‘accepted’ and ready for completion.

    Report Logo

    You can attach a logo or graphic to print on reports and printouts of recall notices, tasks, and so on.

    Note: 

    The image used for the logo must be less than or equal to 120 pixels in height, or the image will be distorted. Use an image editing application to resize your logo image if necessary.

    Approval Required To Close Notice

    Select this field if your organization requires approval to close a notice. If approval is required, the notice must be approved before the coordinator can close the notice.

    Approval to close a notice requires Infor Process Automation. You will use the RecallApproval service and process.

    Allow Responders To Create Resolutions

    Select this field if you would like the Recall Responder role to create Vendor Returns, Stock Issues or Stock Transfers for the recalled product. Leave this field unchecked if only the coordinator should perform those functions.

    Approval to close a notice requires Infor Process Automation. You will use the RecallApproval service and process.

    Require Login to Recall Portal

    Select this field if your organization requires that all users of the Recall Portal log in to the application before they can create new notices or search for existing notices. If you leave this field blank, users can access the Recall Portal and create notices anonymously.

    Note: 

    Anonymous access is not allowed if Lawson System Foundation is the primary authentication system and the Recall Portal is run in a Landmark federated environment.

  3. From the Actions menu, select Save.
  4. Define email setup. You can change email settings at any time. On the Email Configuration tab, use the following guidelines to enter field values.
    Send Emails To Task Owners

    Select the Send Emails To Task Owners field to send an email to all users who have tasks assigned to them. If a user has a task assigned to them, they will not receive an additional email as a notification user, or watcher.

    Send Task Processing Emails To Coordinator

    Select the Send Email To Coordinator When - Each Task Is Accepted field, or - All Tasks Are Accepted field to send a notification email to the recall coordinator when a task is accepted, or when all tasks are accepted.

    Select the Send Email To Coordinator When - Each Task Is Completed field, or - All Tasks Are Completed field to send a notification email to the recall coordinator when a task is completed, or when all tasks are completed.

    Send Notice Closure Emails To Notification Users And Assigned Task Owners

    Select the Send Notice Closure Emails To Notification Users and Task Owners field to send a notification email to all task owners and recall notice watchers when a recall notice is closed.

    Send Notice Emails To Notification Users

    Select the Send Notice Emails To Notification Users field to send a notification email to all users the recall coordinator sets as notification users, or watchers of a recall notice.

    Set Up Custom Variables in Email Content Fields

    Default content variables are provided in the Email Content fields. These variables are replaced with the defined values when an email is sent. To customize the email content,

    1. Place your cursor in an Email Content field where you want to add a content variable.

    2. Right-click and select an item from the Variables menu to add the associated value to the Email Content field.

  5. Click the Save icon on the menu bar to save the changes.
