Setup in Contract Management

All the Contract Management setup can be done by a user who has the Contract Administrator or Admin role.

Contract Group Approver and Contract Approver Category

In order to have a Contract Reassigned to them, a user must have a Contract Group Approver defined. When the Reassign action is taken, the list of people to reassign to comes from Contract Group Approver. The Contract Approver Category is a user-defined field that allows filtering of approvers on a list when selecting an approver to reassign to. Both are accessed from the Contract Administrator menu under Contract Setup.

Contract Classification

Contract Classifications define Contracts as using the Contract Redline Document process, and determine how contracts should flow through the process. This topic describes specifically how a Contract Classification should be set up to perform the Contract Redline Document Approval process. Contract Classification setup is found in the Contract Administrator menu under Contract Setup.

When creating a Contract Classification for the Contract Redline Document process, the Type field should be defined as Approvals With Redlining On Document. When the record is created after being saved, the Document Redline Approvals tab is displayed.

The Require Internal Contract Approval Using Document Redlining Before Negotiation checkbox is selected under Initial Release. If Contract Document Redline Approvals are also done for addendum contracts, select the Addendum checkbox. This process is not used for Amendment contracts.

The Require Supplier Contract Negotiations checkbox should be selected under Initial Release if the Contract is to go through a Negotiation phase with the Supplier. The same checkbox should be selected under Addendum if the Require Internal Contract Approval Before Negotiations checkbox is also selected.

The same definitions can be used for Contract Subclassification.

It is important to select the proper checkboxes immediately after the record has been added. If this is not done, no Redline Approval processes take place when the Contract is released.
