Negotiating with the Supplier
-
Email the latest version of the Redline Document to the Supplier using either the Email Contract To Supplier or Email Contract action.
The difference between the two actions is that Email Contract to Supplier fills in the Supplier Contact and Proxy email addresses automatically and puts content in the Subject and Contents. For Email Contract, the User fills in the To, Subject, and Contents fields.
When Contracts are emailed using either one of the actions, Email Notifications records are created which are shown on the Email Notifications tab. These records capture when and who the emails are sent to and what documents were emailed. There is a link to the actual document that was emailed as long as it still exists in the system.
- Select the Include Latest Redlined Document checkbox and optionally select the other "Include" checkboxes.
- The supplier reviews the revised contract and makes their own redline revisions if necessary.
- The supplier emails the contract back to the Contract Primary Contact or the owner of the document.
-
If the document received from the Supplier does not need to go through the approval process again, a Redline Document is created from the Supplier document so the latest version is stored in the correct place. The process is completed by performing the Complete Negotiation action for the Contract (if required).
If the document needs to go through the approval process again, the document provided by the Supplier is stored in the CONTRACT_LOCATION folder and a Redline Document is created from it. The Disapprove action is performed for the Contract and the Contract is re-released to start the Process Automation approval process again. As many iterations of this process as needed will take place until the Contract is in a Ready For Activation status.
