Creating a finance group

A finance group is the highest level of a group of data in a Landmark application.

Note: 

A Finance Group field may not be seen on most of the lists and forms due to actor context being set on their actor record.

  1. Select General Setup > Finance Group.
  2. From the Actions menu, select Create.

    Use the following guidelines to specify field values:

    Finance Group

    Specify a group ID for the finance group.

    Description

    Specify a description for the finance group.

    Finance Resource Numbering
    • Autosequence: Select this option if you want the system to automatically assign a resource number.

    • Employee Number: Select this option if you want to use the employee number as the resource number.

    Note: 

    Employee Number can only be selected if coupled. Stand-alone applications must select Autosequence.

  3. Click Save.
  4. On the Main tab, use the following guidelines in specifying field values:
    Corporate Calendar, Corporate Period Group

    Select the default calendar settings for your organization.

    Note: 

    The Corporate Calendar and Corporate Period Group are defined under General Setup > Calendars.

    Currency

    Select a currency from the list.

    Note: 

    Currency codes must be set up in the framework.

    Corporate Currency Table

    Select a corporate currency table from the list.

    Note: 

    This field is for Cash and Treasury Management only.

    Financial System URL

    Specify the URL for your financial system.

    Note: 

    If running a Lawson financial system, the URL should look like the following example: http://cass.lawson.com:7684/lawson/portal/

    Note: 

    For Close Management, a URL enables access to any forms referenced on your Close tasks. The URL allows you to navigate into your financial system directly from the Close application to verify any related processing.

    Journal Interface Default Run Group

    Specify a Journal Interface Default Run Group. This is used when creating a Journal Interface header. The Journal Interface Default Run Group can be overwritten.

    Summarize Journal Postings
    Note: 

    Journal Interface Default Run Group and Summarize Journal Postings are only available if you select Lawson system. These fields are not used with stand-alone systems.

  5. On the AP Invoice Automation tab, use the following guidelines in specifying field values:

    This tab is for AP Invoice Automation only.

    General Settings
    • Allow Distribution Entry During Invoice Approval: Select to allow your approvers to create or update distributions during the approval process.

    • Automatically Send Invoices For Payment After Approval: Select this option if you want approved invoices to have the Sent For Payment status. If the check box is cleared, the Send For Payment action must be performed on an Approved invoice. An organization would clear this box if they wanted the AP department to perform a Final Review on invoices before sending for payment.

    • Using Document Management System: Select this option if you are using a third-party imaging vendor. Selecting this option will display these fields:

      • Document Management Partner: Select your particular imaging vendor.

      • Document Management System Key: Specify your Document Management System Key. This is used by the Document Management System to access the documents. This key may or may not be filled depending on the requirements of your imaging vendor.

      • Store Document Locally: Select this check box if you want a local copy of the saved invoice image when an invoice is created from a Document Management System. All local image copies will be deleted when the invoice is sent to Lawson AP for payment. The local image may allow your approvers to see the image without having to access your imaging vendor server.

    Invoice Email Settings

    The Email Subject and Email Content fields are pre-populated with default messages to be used when invoice e-mails are sent for the following processes. You can either use the template or customize the messages in those fields.

    • Invoice Submitted For Approval

    • Invoice Rejected

    • Email Invoice

      Note: 
      • Select the Include Link To Review Invoice check box to include the review link in the e-mail message sent to the approver.

      • Select the Include All Related Documents check box to allow all Related Documents to be sent as attachments in e-mail messages.

  6. On the Close and Reconciliation tab, use the following guidelines in specifying field values:

    This tab is for Close and Reconciliation only.

    Reason code required when
    • Reopening Task: Select this check box to require a reason code when reopening a task.

    • Voiding Task: Select this check box to require a reason code when voiding a task.

    • Rejecting Task Approval: Select this check box to require a reason code when rejecting a task approval.

    • Starting Task Late: Select this check box to require a reason code when starting a task late.

    • Closing Task Late: Select this check box to require a reason code when closing a task late.

    • Updating Task Estimate: Select this check box to require a reason code when updating a task estimate.

    One time tasks
    • Allow Creation Of: Select this check box to allow creation of one-time tasks.

    • Require Approval Before Working: Select this check box to require approval before working on one-time tasks.

    • Default Approval Code: Specify default approval code.

    Approval required for

    Journal Entry: Select this check box to require approval of a journal entry.

    Reason code required when
    • Rejecting Reconciliation: Select this check box to require a reason code when rejecting a reconciliation approval.

    • Reopening Reconciliation: Select this check box to require a reason code when reopening a reconciliation.

  7. On the Cash Management tab, use the following guidelines in specifying field values:

    Automatic Bank Statement Import

    Do not select this check box if resources have not been created. For more information, see Creating or loading a resource.

    Intraday Statement Processing
    • Keep All Statements: Select this option to keep all bank intraday statements.

    • Keep Latest Statement And Any With Cash Position: Select this option to keep only the newest intraday statement and any other intraday statements that are linked to the Cash Position Worksheet.

    • Keep Only Latest Statement: Select this option to keep only the latest statement regardless if a Cash Position Worksheet exists.

    Bank Interface Administrator

    Resources must be created first. For more information, see Creating or loading a resource.

    Statement Currency Gain Loss Category

    Select a gain loss category for the finance group.

    BOD Integration

    Select this check box to allow BOD integration for the finance group.

    Approval Required For
    • Cash Forecast: Select this check box to require approval of a cash forecast.

    • Journal Entry: Select this check box to require approval of a journal entry.

    Reason Code Required When
    • Rejecting Cash Forecast: Select this check box to require a reason code when rejecting a cash forecast.

    • Rejecting Journal Entry: Select this check box to require a reason code when rejecting a journal entry.

    • Reopening Journal Entry: Select this check box to require a reason code when reopening a journal entry.

  8. On the Companies tab, create a finance company. See Creating a finance company.
  9. Click Save.

Additional guidelines for Summarize Journal Postings

  • On the Finance Group, there is a flag for summarizing journal postings. When this flag is set, distributions from Cash and Treasury Management will be grouped and summarized by the account string (Company, Accounting Unit, Account, Sub Account, Activity).

  • On the Interface Distribution form, if you are summarizing distributions, every time you interface Statement Line Distributions, you will get an Interface Line and a Gltransrel line created for the summarized amount.

  • When creating a Journal Interface record, an autosequenced number is assigned. This number is then moved to the Reference field in GLTRANSREL and is moved to the Reference field in GL when posted by GL165 (only if GL165 is posting in detail). If you run GL165 to summarize transactions, the Reference field is not populated in GL. GL165 must be run in detail with Summarize Transactions set to N=No.

  • Each journal posting that is interfaced will also be updated with the Journal Interface number.
