Creating an actor context record

Set up an actor context record to define which Finance Group an actor is associated with. An actor can only be associated to one Finance Group and is only allowed to make changes in the system for anything under that Finance Group.

  1. Specify ActorContext in the Search box in the upper right corner of the application. Click ActorContext in the search results that are displayed.
  2. In the Actor Context window, click Actions > Create.
  3. Click the arrow next to the Actor field and select the actor to create the context record for.
  4. Click the arrow next to the Unique ID field.

    If a record exists for the Finance Group and data area you want to associate the actor to, select it and then click the Save icon.

    If selecting the Unique ID field does not contain a record for the Finance Group and data area you want to associate an actor to, click the New icon on the Context Property list to define a new one.

  5. In the Context Property window, click the arrow next to the Key Field field and select FinanceGroup.
  6. Click the arrow next to the Data Area field and select the corresponding data area for the key field.
  7. If you want the key field to be available everywhere on the system, select the Is Pervasive checkbox. Forms that do not have the key field can retreive the field from the actor context record when this checkbox is selected.
  8. If the user is allowed to change their key field, select the User Modifiable checkbox.
  9. Click the Save And New icon to create another context record or click the Save icon to save the record and return to the Actor Context window.
  10. On the Actor Context window, specify a unique value for the context record in the Value field and click the Save icon.
  11. If you selected the User Modifiable checkbox when creating the context record, you can edit the key fields for an actor by clicking Start > User Context.
