Adding or modifying files

If you are an administrator, you can modify all files from the Content Administration screen. The Content Administration screen also allows you to see the users who have subscribed to the existing files.

  1. Launch Smart Notification and click Files. The Files screen is displayed which contains all files that you own.
  2. Click Add. If you are modifying a file, click the Edit link to modify that file. The Add/Update Files screen is displayed.
  3. On the File tab, specify this information:
    Name, Description
    Specify a name and description for the file.
    Type
    Select a type for the file, for example, Spreadsheet. The type is displayed along with the name and description to help you and other users locate the type of content you need among files that have similar names.
    Select a File
    Click this button to browse for the file to upload or specify the path into the Select a File box.
    Click here to select categories
    Click this link to access the Pick Tree Locations screen where you can select the categories that your file relates to.
    Click here to select user and user groups
    Click this link to access the Share to Users and User Groups screen to select the users and user groups that are to have access to the file. If you do not select any users and user groups, then all users are given access to the file.
    Add
    Click Add to add your file to those stored in the system. A message is displayed to confirm that the file was successfully added.

    The message also contains the number of auto-generated emails that will be sent to the subscribers of your file to let them know a new version is available.

    Note: If it is the first time you have uploaded this file, then no messages are sent because no one has subscribed yet.
  4. To add a URL, click the URLs tab. Specify this infomration:
    Name, Description
    Specify a name and description for the URL.
    Type
    Select a type for the URL. For example, Competitor Web Site. The type along with the name and description is displayed to help you and other users locate the type of content you need among URLs that have similar names.
    Enter a URL
    Specify the URL. You can open a separate browser window, navigate to the URL you want, and then copy and paste the URL into this box.
    Test
    Click this button to check that the URL link works as you expected.
    Click here to select categories
    Click this link to access the Pick Tree Locations screen where you can select the categories that your URL relates to so that it can be easily found and related to other content.
    Click here to select user and user groups
    Click this link to access the Share to Users and User Groups screen where you can select the users and user groups that are to have access to the URL. If you do not select any users and user groups, then everyone is allowed access to the URL.
    Add
    Click Add to add your file to those stored in the system. A message is displayed to confirm that the URL was successfully added.

  5. Click the Notes tab. Specify this information:
    Name, Description
    Specify a name and description for the note.
    Type
    The default for this field is Note.
    Note
    Specify the note's text.
    Click here to select categories
    Click this link to access the Pick Tree Locations screen where you can select the categories that your note relates to so that it can be easily found and related to other content.
    Click here to select user and user groups
    Click this link to access the Share to Users and User Groups screen where you can select the users and user groups that are to have access to the note. If you do not select any users and user groups, then everyone is allowed access to the note.
    Add
    Click Add to complete the process and add your note to those stored in the system. After you click this button, a message is displayed to confirm that the note was successfully added.

    The message also contains the number of auto-generated emails that will be sent to the subscribers of your note to let them know a new version is available.
