Viewing a report

Use this procedure to view the latest instance of a report. You can view the latest instance from the Reports screen or the Report Options screen.

The options available to you when viewing a report vary by report type. More options are available for RPT reports than for non-RPT reports. These options or features are available for the RPT file types.

  • Refreshed data or latest instance. You can view the report with refreshed data, or view the most recent instance. When you choose to view the report with refreshed data, the data is updated before the report is displayed.

    Depending on the size of the report file, it may take several minutes to open a file with refreshed data. For very large reports, you might create a report schedule and view the most recent instance rather than waiting for the report data to refresh.

    Users must have view with refresh data rights to view a report that does not have any instances.

  • Report toolbar. RPT files display the report toolbar at the top of the report window. Icons on the toolbar allow you to navigate through the report pages, export the report, or view the report's group tree.

    Report data options and the report toolbar are not available for non-RPT reports.

  1. Open the Tools dashboard and select My Reports. The Reports screen is displayed.

    You can only view the latest instance from the Reports screen for the All and Custom list types. For other list types, you must use the Report Options screen.

  2. Check one or more reports to view.
  3. To view the latest instance, select View Latest Instance in View Options. To view a data refreshed report, select View with Data Refresh. Reporting Services retrieves the instance or refreshed data. You may be asked to provide parameter values before the report is displayed.

    You can also view reports by clicking the reports details and selecting the required option under Report Options.
