Ability to import purchase data from external system to Infor M3 Supplier Rebate

Description

You can now use the Export and Import PO and Receipts form to migrate or import purchase orders and receipts from external system by filling out a template and then uploading it in Infor M3 Supplier Rebate. With this update, the agreement process is done half the period in M3 and the rest is done in an old system (ERP).

Export of PO and receipts template

In the Export and Import PO and Receipts form, select the export action. Upon selecting the export action, the grid shows these columns:
  • Division

  • Warehouse

  • Supplier Number

  • Receipt Number

  • Receipt Date

  • Purchase No

  • PO Line No

  • PO Line Sub

  • PO Line Sfx

  • PO Category

  • Order Date

  • Item Number

  • Purchase Price

  • Price per Quantity

  • Total Order Discount

You must fill out these fields from the downloaded template. Download the template by clicking the Export to Excel icon from the toolbar.

Import of PO and receipts

After downloading the template from the export action, fill out these required fields to successfully import the PO and receipts:
  • Division

  • Warehouse

  • Supplier Number

  • Receipt Number

  • Receipt Date

  • Purchase No

  • PO Line No

  • Order Date

  • Item Number

  • Purchase Price

  • Currency

  • Purchase Price UM

  • Purchase Qty UM

  • Order Quantity

In the Export and Import PO and Receipts form, select the import action. Click the Process button to select the file from your local machine. The data types, completeness, and validity of the values to import are checked.

When the processing is completed, a message prompts and shows the number of records or lines that are successfully and unsuccessfully imported. For those that are successfully imported, their status are set to Received and the M3BODIndicator is set to 0. In order to generate accruals, you must regenerate all agreements to match them with the successfully imported purchase order and receipt lines.

To help you specifically identify which rows and lines you must correct and re-import, you may refer to these fields from the grid: File Name, Row Number (in Excel file), Receipt Number, Purchase No, PO Line No, PO Line Sub and Import Status. You can also export the results from the import grid by clicking the Export icon from the toolbar.

Limitation

You cannot update the existing M3 records that are received through BOD (with M3BODIndicator = 1) by using the import functionality.

The maximum file size is limited to 1 MB which equates to an approximate of 16000 rows.

When exporting the PO and receipts template, you must change the User Preferences Language value to EN-US. Importing XLS/CSV file with column headers other than English is not supported.

You can only upload a single XLS/CSV file.

Supported date formats are limited to MM/DD/YYYY and YYYY-MM-DD.

For numeric fields, comma as thousand and decimal separator is not supported.

When you specify values with leading zeros in the template, you must set the field value type to Text to prevent them from being truncated.
