Using the Scheduling Board

Use the Scheduling board on the Calendar Scheduling form and Queue Scheduling form to view and make appointments. Follow these steps to use the Scheduling board:

  1. Specify this information to filter the Scheduling board:
    View
    On the Calendar Scheduling form, select a layout to use for displaying data:
    • Day: Shows the selected day, incremented by hour.
    • Week: Shows the selected week, incremented by day and hour.
    • Month: Shows the selected month.
    • Timeline Day: Shows the selected day, incremented by hour for the selected partners.
    • Timeline Days: Shows the selected days for the selected partners.
    • Timeline Week: Shows the week following the selected day, incremented by day for the selected partners.
    • Timeline Month: Shows the month following the selected day, incremented by day for the selected partners.
    • Partners Day: Shows the selected day, incremented by hour for the selected partners.
    • Partners Week: Shows the selected week, incremented by day for the selected partners.
    On the Queue Scheduling form, select a layout to use for displaying data:
    • Daily Partner Queue
    • Open Partner Queue
      Note: The sort order for partners is a hidden sequence, but is essentially based on queue position. For example, if you drag an appointment to the bottom of the queue, it assumes that position going forward. This sequencing is more useful in the Daily view, because you can use the position to optimize the partner's activities.
    Profile
    Select a profile to control how and what is displayed. Profiles can be created and maintained on the Scheduling Profiles form.
    Partners
    Select a filter method to control the partner information displayed.
    Color Coding
    Select the component type to use to determine how the colors are displayed on the Scheduling board. Color coding is maintained on the Color Coding form.
  2. Click on the calendar image to select the dates to view on the Scheduling board. To view a period of time, such as a week or month, click the first day and last day of the range you want to view.
  3. Click Partner Selection to open the Partner Selection modal form.
  4. Click Task Selection to open the Tasks Selection modal form.
  5. In the Partner Select field, select the partner for whom to view appointments.  
  6. Select these options from the Activities menu:
    • Add Single Day Appointment: Open the Schedule Appointments form.
    • Add Multi Day Appointment: Open the Multi-Day Scheduling form.
    • Dispatch Partner: Open the Dispatch Scheduling form.
    • Quick SRO Create: Open the Quick SRO Create form.
    • Quick Incident Create: Open the Incident Quick Create form.
    • Partner Selection: Open the Partner Schedule Report.
    • Task Selection: Open the Task Selection form.
    • Tasks To Be Scheduled: Open the Tasks Selection form.
    • Print Preview: Preview the output that is printed of the Scheduling board.
    • Print: Print the Scheduling board output.
    • Refresh Schedules: Refresh the Schedules collection and reapply the filters.
    • Reload System Data: Reload scheduling parameters and supporting data (department, certification, skills, and partners) that make up the filter lists.
  7. Select these options from the Map menu:
    • Export All: Export all the appointments to the Map form.
    • Clear Map: Clear all appointments from the Map form.
  8. Select these options from the Setup menu:
    • Display Profiles: Open the Scheduling Profiles form.
    • Color Coding: Open the Color Coding form.
    • Scheduling Parameters: Open the Global Scheduling Parameters form.
Note: When an appointment is created or the date/time is updated, if the new date/time is part of a blackout, a warning message is displayed. Blackout times are set up on the Customer Ship-Tos form.
