Entering Count Quantities
You can record the counted quantities, from either tags or sheets, into the system on the Input/Update Tags form or Input/Update Sheets form.
- Open the Input/Update Tags form or Input/Update Sheets form.
- In the grid, enter the counted quantities for each record.

On the Input/Update Tags form, in the Replaces Tag field, specify the number of
the voided tag if the tag entered is to replace a voided tag. Specify
0 if the tag entered is a new item/location/lot
combination.
The number of the tag that was loaded into the Physical Inventory file is displayed.
- On the Input/Update Sheets form, the number of the sheet used to record this physical inventory transaction is displayed.
- The item number loaded into the physical inventory file is displayed.

Specify this information:
- Location
- Select the location of the item to add to the Physical Inventory file. On the Input/Update Tags form, if the tag is a replacement tag, this field cannot be updated.
- Count Quantity
- Specify the quantity of the item counted during the cycle count.
- Quantity on Rent
- The quantity currently on rent for the location or serial number is displayed.
- Employee Counter
- Specify the employee who performed the count.
- Employee Checker
- Specify the employee responsible for checking the count.
- Lot
- The lot number of the item is displayed, if lot tracking is in use.
- S/N
- For existing tags or sheets, the serial number of the item for which the physical inventory count was taken is displayed. For new tags and sheets, select a serial number for the specified item. You can also enter a new serial number that is not in the list.
- Status
- The current status of the physical inventory record is
displayed:
- Uncounted: The default status for tags or sheets added through the Load Physical Inventory Records activity. A status of Uncounted applies to a record for which a sheet or tag has been created, but the stock/lot selection has not yet been counted.
- Counted: After the stock/lot selection has been counted and the count has been entered through this form, the status automatically changes to Counted. Records with a status of Counted can be approved or voided.
- Approved: After the count has been approved by the Physical Inventory Supervisor through the Physical Inventory Approval activity, the status changes to Approved. We recommend carefully reviewing the Inventory Pre-Adjustment Report before approving count quantities and currency variances. Those tags or sheets with a status of Approved can not be updated but they can be posted.
- Posted: After records are approved, you can post them through the Physical Inventory Count Posting activity, which generates any needed financial transactions for the adjustment of inventory and updates quantities on the Items form. You can not update these records, but you can purge them.
- Voided: Instead of approving or posting records, you also have the option to void records through the Void Tags/Sheets activity. The status of these records automatically changes to Voided. You can not update these records, but you can unvoid or purge them.
- Not Printed: The default status for replacement tags or sheets. To add a replacement tag or sheet on the Input/Update Tags or Input/Update Sheets form, select Actions > New. This status also applies to zero on hand items if you selected not to print these items on the Print Inventory Sheets and Print Inventory Tags forms.
- Replacement: This is the default status when you reprint a replacement tag or sheet using the Print Inventory Tags and Print Inventory Sheets forms. On the Input Update Tags form or the Input/Update Sheets form, select Actions > New to add a replacement sheet or tag.
- If stock locations do not exist for an inventory item, you must add them. On the Input/Update Tags form or the Input/Update Sheets form, select Actions > New to enter a replacement sheet/tag number for an item/lot/location combination while the inventory is frozen. (You can also add a few records with blank sheet/tag numbers when needed without executing the printing process.)
