Importing Documents (Files)

You can import a document (file) without necessarily attaching it to a form, property, or a record in a collection. This can be useful when you have a document that you know you want to attach to one or more objects at some point but not at this time.

To import a document:

  1. Open the Documents form and execute Filter-in-Place.
  2. Select Actions > New.
  3. In the appropriate fields, specify this information:
    • Optionally, a description
    • Optionally, whether the document is for internal use only
    • Optionally,  a revision identifier
    • If authorized, a status of Approved
    • Optionally, start and end dates for the portal.  Documents that are not within the start and end dates are not shown in the portal.
  4. Click Import.
  5. Use the Import dialog box to navigate to, select, and open the file to import.
  6. Verify that the various fields are correctly populated.
  7. Optionally, provide a Description and any other missing or incorrect information.
  8. Optionally, to preview the file being imported, click View.
  9. Save your changes.
