Shipping and Receiving a Transfer Order Line

  1. Open the Combined Transfer Order Ship/Receive form.
  2. Specify this information:
    Transfer
    Select the number of the transfer order.
    Line
    Select the line number for the transfer order.
    Item
    The item associated with the transfer line is displayed.
    (Item Description)
    A description of the item is displayed.
    Quantity Requested
    The quantity requested to be shipped is displayed.
    Shipped
    The total quantity shipped is displayed.
    On Hand
    The quantity on-hand for the item at the warehouse, location, and lot indicated is displayed.
    From Site
    The site from which items are moved is displayed.
    From Warehouse
    The warehouse from which the order is being transferred is displayed.
    To Site
    The site to which the order is being transferred is displayed.
    To Warehouse
    The warehouse to which the order is being transferred is displayed.
  3. Specify this information on the Detail tab:
    From Location
    Select the location from which the materials or items are being shipped.
    From Lot
    For lot-tracked items, select the lot number from which you are transferring the items or materials.
    Quantity
    Specify the quantity to transfer.
    (U/M)
    The unit of measure is displayed for the order.
    Ship Date
    The current date is displayed. Optionally, select a different date to ship the order.
    Remote Site Lot Processing
    Select the method to use to process the From and To Lot fields for remote sites during inventory transactions:
    • Existing Lot: The Lot field allows users only to select from existing lots.
    • Create Lot: The Lot field requires users to enter a new lot number that does not exist in the system.
    • Both: The Lot field allows users to select an existing lot or enter a new lot number.
    To Location
    Select the location where you will receive inventory. This location must not be a transit location.
    To Lot
    For lot-tracked items, select the lot number to which you will transfer the items or materials.
  4. When shipping or receiving a serial-tracked item, specify this information on the Serial Numbers tab:
    Select
    Select this check box for each serial number that you want to include.
    S/N
    Existing serial numbers are displayed after clicking Generate Serial.
    Target Quantity
    The quantity specified on the Detail tab of this form is displayed. This value is the quantity of serial numbers that must be generated or selected for the item.
    Selected Quantity
    The number of serial numbers currently selected in the grid is displayed.
    Generate Quantity
    The target quantity is displayed by default. This value indicates the number of serial numbers you want the system to generate for this item during this transaction. When you generate new serial numbers, the number to be generated should be less than or equal to the Target Quantity. When you are performing a query on existing serial numbers, you can change the value to any desired quantity. After a generation or selection has been performed, this field is reset to 0.
    Range Quantity
    Specify the quantity of serial numbers to select (for existing serials only) or clear in the grid. For existing serial numbers, the Target Qty value is used by default. When new serial numbers are required, this value defaults to zero, and is reset to zero whenever there is a change to the selected serial numbers.
    S/N Prefix
    When generating new serials, specify how the new serial numbers should begin.
    Use Existing Serials
    Select this check box to use the existing serial numbers from the remote site for this transaction. This check box is enabled only when the transaction's item is serial-tracked at the remote site and serial numbers are specified. If this field is selected, any serial numbers entered or selected at the local site for this transaction are valid if:
    • the serial numbers do not exist at the remote site, or
    • the serial numbers exist for the item and have a status of O (out of inventory) or N (not used or posted)
  5. Click Select Range to place an X in the Select check box for each record, beginning with the currently selected serial number record and continuing through the number of records specified in Range Qty.

    This button is disabled when any of these conditions exist:

    • New serial numbers are required.
    • No serial numbers exist in the grid.
    • Range Quantity is 0.
  6. Click Deselect Range to perform one of these actions:
    • Clear each selected record (for existing serial numbers)
    • Delete each selected record (when generating new serial numbers)

    This button is disabled when either of these conditions exist:

    • No serial numbers exist in the grid.
    • Range Quantity is 0.
  7. Click Generate to generate the specified quantity of new serial numbers, if new serial numbers are required for a transaction and the Generate Qty value is greater than 0.

    Click Generate to create a blank entry in the Serials grid, if the transaction requires existing serial numbers.

    This button is disabled when either of these conditions exist:

    • The Quantity on the Detail tab is 0.
    • The Expand S/N check box is not selected on the Inventory Parameters form, and new serial numbers must be generated.
