Account Number Formatting

Use this utility to change the General Ledger account number format or to change the section of the account number to use as the sub-account (or whether to use a sub-account at all). If you are changing the format at an entity, you must also change it at each site that reports to that entity.

When you change the format, a message is displayed stating that the database must be backed up before saving a new account number format. If the databases are not backed up, click Cancel to return to the form. If the databases are backed up, click OK to continue. A message is then displayed that the account numbers will be formatted.

Service Management provides 12 character positions for you to define your structure. Two groups can be defined with the account number, the main account and the sub-account. To separate the main account number format from the sub-account number format, use a character such as a hyphen. You can use any character other than the ones that are reserved as formatting characters.

If you are changing the format for a second time, and some databases have not been converted to the current format, click Cancel. If this is the first time the format has changed, or if all databases have been converted to the current format, click OK. The proper code is generated and compiled, and all account numbers in the database are converted to the new format.

You can run financial and General Ledger reports for ranges of main and sub-account numbers, or for selected groupings of sub-accounts. You can also set up reporting units to aid in financial reporting tasks. For more information about reporting units, see the Unit Code (1-4) help topic.

Note: We recommend that you change the account number format only one time. Any change is a permanent change. If you are unsure of the account number format, try it in a demo database first.
