Using the SX.e Catalog/Non-Stock Query Form

Note: You can open the SX.e Catalog/Non-Stock Query form standalone, but it is more common to open it from the Service Order Transactions form.

Use these steps for planned or estimate transactions.

  1. On the Service Order Transactions form, filter for the service order transaction that you are working with, or create a new service order transaction.
    Note: A read-only PO Vendor field is visible when the Type field is set to Planned or Estimate. To populate the PO Vendor field, open the SX.e Catalog/Non-Stock Query form from the Service Order Transactions form.
  2. In the Item field on the Material tab, right-click and select SX.e Catalog/Non-Stock Query to open the SX.e Catalog/Non-Stock Query form.
  3. Use the Catalog Search fields to search for the Distribution SX.e item. You can use any combination of the fields.
  4. Click Apply Filter.
    Any matching entries are displayed in the grid. If no entries exist, then the grid is empty or there is no entry for the item, and the item is considered "non-stock". For non-stock items, skip to step 6.
  5. For existing catalog items, select the item from the grid that you want to use on the service order.
    The Selected Item fields are populated to show the item information.
  6. For non-stock items, specify the values in the Selected Item fields:
    Item
    Specify a name for the item.
    Description
    Specify a description for the item.
    Product Code
    Select 99 for a non-stock item.
    (Product Code Description)
    Optionally, select a product code description first to populate the Product Code field.
    Vendor
    Select the vendor number.
    Note: If you are working on an estimate material transaction, the value of the PO Vendor field on the Service Order Transactions form is derived from the Vendor field on the SX.e Catalog/Non-Stock Query form. If the PO Vendor field is populated, a purchase order associated with the planned material transaction, based on the estimate transaction, is automatically created.
    U/M
    Select the unit of measure for the item.
    Unit Cost
    Specify the cost per unit.
    Use Cost Mark-up
    Select this check box to specify a mark-up percentage to use to automatically calculate the price. When Use Cost Mark-up is selected, the Unit Price field is read-only.
    Unit Price
    Specify the price per unit.
    Quantity
    Specify the quantity.
    Product Line
    Specify the Distribution SX.e product line.
    Warehouse
    This read-only field shows the warehouse associated with the service order transaction.
    Direct Ship
    This field is only enabled for unposted planned material transactions with a reference type of Purchase Order.

    Select this check box to indicate that the transaction is a direct ship. This means that the product will go directly to the customer instead of to a warehouse first.

    In Distribution SX.e, when products are sourced as direct, the sales order is flagged as a DO type at the line level and the PO is created as a DO purchase order. As a result, the PO is created with the customer's shipping address so that the vendor sends the goods to the customer, rather than the ordering warehouse. There is no inventory update, but the PO receiving process still runs in Distribution SX.e. DO types can generate separate GL transactions using Product GL Distribution Setup.

    When you select this check box, Create SX.e Purchase Order is automatically selected because a PO is required for a direct order.

    Create SX.e Purchase Order
    If Create SX.e Purchase Order is selected on the Integration Parameters form, then it is selected here. When selected, a PO is automatically created in Distribution SX.e using items from Service Management.

    You can also select this check box if it is not selected by default.

    Optionally, clear the check box if you do not want to create a PO this way. Instead, the Distribution SX.e PO RRAR process runs, picking up the non-stock items and including them in a PO. When a PO is created this way, it can contain items from Distribution SX.e and Service Management.

    Rush Purchase Order
    If the PO should be rushed in Distribution SX.e, select this check box.
    Note: When Create SX.e Purchase Order is selected, the Product Line, Create SX.e Purchase Order, and Rush Purchase Order fields are used by the Sync.ServiceOrder BOD to provide values to Distribution SX.e for PO creation.
  7. Click OK to create the planned or the estimate material transaction, which is cross-referenced to a purchase order in Service Management.

The ServiceOrder BOD is generated and sent to Distribution SX.e, which links a sales order line to a purchase order for the vendor in Distribution SX.e.

When the purchase order entry is received in Distribution SX.e, Service Management consumes the ReceiveDelivery BOD and the material transaction is posted to the service order.
