Maintaining Items with Multiple Versions

  1. Open the Item Versions form and turn off Filter-in-Place.
  2. Select the item for which you want to add a new version.

    The item description is displayed.

  3. Specify this information:
    Version
    Specify the version number for the item.
    Status
    Select the current status for the item version record.
    Distributed
    Select this check box if the item version record is currently in distribution.
    Distribution Status
    Select the distribution status for the item version record.
    Family Code
    Select the family code to group the item with similar items.
    Early Release Date
    Select the early release date for the item version record.
    Final Release Date
    Select the final release date for the item version record.
    Expiration Date
    Select the date on which the item version record expires.
  4. Specify this information on the Options tab:
    Description
    Specify a description for the component of the item version.
    Downloadable
    Select this check box if the item version contains files that can be downloaded from the web. Items that might be downloaded include Product Images, White Papers, Design Overviews and Pricing Sheets.
    Contract Required
    Select this check box if a contract is required to download from the web.
    Web Download File
    Specify the network path where the physical file resides for downloading.
  5. Save the record.
