Using the Invoice Exception Center

Use the Invoice Exception Center form to review invoice integration workflows from Service Management to Distribution SX.e.
  1. Open the Invoice Exception Center form.
  2. Select the date range for the invoices that you want to see. For example, set the dates to see the previous week's invoices.
    Note: The default date value is today, so that you can review the current day's invoices.
  3. Optionally, select Show Non-Reconciled Only to show only invoices that have not been reconciled in the grid. The BOD Reconciled column in the grid corresponds to this check box.
  4. Click Refresh to populate the grid with the invoices that meet the selected criteria.
    Note: You can use standard Filter in Place settings to further filter the grid results. For example, you can limit the results to only show entries where the BOD Status is Rejected.
  5. Click the enabled buttons to drill into greater detail for each invoice. The buttons are enabled based on the type of invoice:
    • For service order invoices, click the buttons to open the Service Orders form, Service Order Transactions form, and Order Invoice Listing form.
    • For contract invoices, click the buttons to open the Contracts form and Contract Invoice Listing form.
  6. Optionally, click Regenerate BOD to regenerate the Process.Invoice BOD for the entry that is currently selected.
  7. Optionally, click Retrieve Alternate Document ID to retrieve the order number from CSD and override the Alternate Document ID of the invoice record in Service Management.
    Note: If only one CSD order number is found, then the order number is retrieved and replaces the value in the Alternate Document ID field of the invoice record.

    If there are multiple CSD order numbers found, then you can choose among the available order numbers and manually specify the Alternate Document ID of the invoice record. After you save your changes, the Alternate Document ID field is set to read-only.

    If there are no CSD order numbers found, then you can manually specify any value in the Alternate Document ID field of the invoice record. After you save your changes, the Alternate Document ID field is set to read-only.

  8. Optionally, use these buttons to open Distribution SX.e screens, where you can investigate integration consumption issues:
    • Click CSD Order Inquiry to open the Order Inquiry screen in Distribution SX.e.
    • Click CSD ION Inbox Admin to open the ION Inbox/Outbox Admin screen in Distribution SX.e.
    • Click CSD Electronic Transaction Control Center to open the CSD Electronic Transaction Control Center screen in Distribution SX.e.
    • Click CSD Order Release to open the Order Release screen in Distribution SX.e.
  9. In the DataView section, select whether you want to see the Invoice Balance Report or the Order Balance Report.
  10. To see the entries that have errors, select Show Discrepancies Only and click Refresh.
    The DataView is populated with the entries that need to be reconciled. If no issues exist, then the grid is empty.
  11. After an entry or discrepancy has been investigated and reconciled, select BOD Reconciled for the entry and save.
