Adding a Blanket Purchase Order Line

To add blanket lines for a purchase order:

  1. Follow the steps in Adding a Blanket Purchase Order Header to set up a blanket purchase order on the Purchase Orders form.
  2. Click Lines to open the Purchase Order Blanket Lines form.
  3. Select Actions > New.
  4. This information is displayed based on the purchase order header:
    • PO number
    • Vendor number and name
    • Vendor PO
    • PO status
    • Date of creation
    • PO change number
    • Change order status

  5. Specify this information:
    Line
    The next sequential line number is displayed.
    Status
    Select the status for the new line:
    • Planned: The order is in the planning stage and a firm order has not been made.
    • Ordered: The order is ready to begin processing.
    • Complete: The order has been completed.
    • History: The order has been moved to a history file and should not be listed with currently active POs.
    Item
    Select the item to include on the purchase order. To order a non-inventory item, specify the item number in this field instead of selecting an item number from the list.
    Vendor Item
    Select the number that the vendor uses to identify the item.
    Quantity
    Specify the blanket quantity. This is the total quantity of the above item for this PO.
    U/M
    Select the unit of measure for the item.
    Unit Cost
    Specify the unit cost.
    Note: Unit cost can include landed cost (freight, duty, and so on). Determine whether the vendor already includes landed cost in the item's price. If so, do not include landed cost in your unit cost.
  6. Specify this information on the General tab:
    Effective Date
    Select the earliest date on which releases are due or accept the default of the current system date.
    Expiration Date
    Select the latest date on which a release is due to be received.
    G/L Account
    Select an account number to be used as the debit account for posting as items are received. The account number defaults to the Purchases account in the Vendor Master. If no Purchases account exists, then the system defaults to A/P Parameters.
    Note: This field is only active for items that are not in Items.
  7. These values are displayed on the General tab:
    • Total quantity released for each line/release of this blanket line
    • Total quantity received for each line/release of this blanket purchase order
    • Total quantity vouchered for each line/release of this blanket line
  8. On the Costs tab, specify the price to pay for each portion of the item:
    • Material
    • Freight
    • Duty
    • Brokerage

    The sum is displayed on the Quote Cost field.

  9. Save the record.
  10. To add a release, click Releases to open the Purchase Order Blanket Releases form.
